In this exciting role the Receptionist Administrator will interact with a range of management, office and site staff in their everyday role, with responsibility for the smooth running of the Dandara Head Office and general administrative support. Good organisation and communication skills are essential to carry out the role effectively. A flexible attitude, ability to build positive working relationships and strong customer focus is essential. The working hours are 8:30am to 5:00pm based in our stunning Edinburgh office in Newbridge.
**What you will do**
- Welcome visitors and announce them to host
- Answer all incoming calls in a timely, professional and pleasant manner
- Efficiently deal with queries or put through to the appropriate Department as required
- Manage meeting rooms (setup refreshments for meetings and ordering catering)
- Order all kitchen / meeting supplies and manage stock
- Order stationery and printer supplies and manage stock
- Take receipt of deliveries to the office
- Organise any repairs or works in the office - liaising with the landlord
- Arrange annual PAT testing
- Responsible for liaising with the cleaning company and order cleaning supplies
- Responsible to all incoming/outgoing mail and couriers
- The job holder may be requested to undertake other appropriate, ad-hoc duties when supporting the Office Manager or other staff/managers/directors within their knowledge, experience and ability.
**What you will have**
- Experience in an office/administrative environment with good organisational skills.
- Good customer services skills are essential, with experience in managing challenging situations.
- Knowledge and experience** **of Microsoft Office/ Word/Excel/Outlook is essential.
- A calm disposition with the ability to work in a busy environment and prioritise workload accordingly.
- Ability to work on own initiative to determine on-going and future requirements of the role and smooth running of the office (with the support of the Office Manager).
- Excellent and demonstrable verbal and written communications skills.
