Payroll Supervisor

Hours of Work: Monday to Friday 08.00am till 4.30pm (40-hour week)

We are working in partnership with a well-established processing company who are recruiting for a Payroll Supervisor.

As a Payroll Supervisor you will be responsible for overseeing and managing the payroll processes within the organisation. You will ensure accurate and timely payment of wages to employees while complying with relevant laws and regulations.

Responsibilities:

Team Management:

· Oversee the payroll processing function and manage a team of three payroll officers.

· Develop, train, guide, and support team members on procedures and policies.

· Mentor team members, fostering a positive and collaborative work environment.

Payroll Processing:

· Coordinate with HR and other departments to gather and verify employee data for payroll processing.

· Process and oversee weekly payroll, ensuring accuracy in wages, overtime, and deductions.

· Review and approve payroll calculations, including wages, overtime, and deductions, ensuring accuracy and compliance with regulations.

· Review and approve all timesheet checks and monitor attachment of earnings.

· Run and verify Average Holiday Calculations.

·Compliance and Reporting:

· Function as the key point of contact for all payroll inquiries, resolving discrepancies or issues promptly.

· Review payroll reports before submission to management and stakeholders.

· Collaborate with finance and accounting teams to reconcile payroll accounts and ensure accurate financial reporting.

· Provide ad hoc reports to stakeholders upon request.

· Stay updated on changes in payroll regulations and best practices, implementing necessary updates or changes to payroll processes.

Process Improvement:

· Identify opportunities for process improvements and efficiencies in payroll processing, implementing solutions to enhance productivity and accuracy.

· Work closely with Time ware support to identify system issues and suggest improvements.

· Oversee weekly payroll reporting and reconciliation at each payroll end.

· Implement quality control measures.

Regulatory Compliance:

· Balance, process, and submit the full payment submission to HMRC.

· Comply with HMRC legislation, including implementing changes to tax codes.

· Assist in year-end processes, including P60s, ensuring accuracy and timely completion.

· Monitor and collate monthly hours, providing data to the Payroll Manager.

· Assist in end-to-end processing of monthly payroll, ensuring deadlines are met.

· Administer the company workplace pension scheme, including onboarding of new employees, reconciling differences, and ensuring timely submission of contributions.

· Monitor the Pension inbox and act, accordingly, ensuring finance is informed of Pension refunds and their recipients.

Other Duties

· Collate attachment order details monthly and provide relevant data to the Payroll Manager.

· Assist Payroll Manager with special projects and audits related to payroll as assigned.

· Keep the Payroll Manager informed about work status, challenges, and suggest efficient resolutions.

· Function as the point of contact for payroll operations in the absence of the Payroll Manager, ensuring continuity of operations and timely resolution of issues.

· Escalate potential service issues to the Payroll Manager.

· Review and approve agency hours and costs.

· Participate in the interview process for new hires into payroll roles.

Requirements

· Proven experience as a Payroll Supervisor or similar role.

· RTI Submission.

· Managing payroll systems to ensure the accurate processing of payments to employees and HMRC.

· Knowledge of Pension regulations and employment tax.

· Knowledge of Government initiatives e.g., auto enrolment, apprenticeship levy.

· Current knowledge of payroll procedures and related laws.

· Excellent understanding of multi-location payroll and taxes

· Familiarity with payroll software/ HRIS (e.g. SAP, Sage Payroll) and MS Office (especially Excel)

· Excellent people skills to forge positive working relationships.

· Keeping to deadlines.

· Having firm knowledge of accountancy and Payroll standards.

· Strong modelling and analysis skills.

· Attention to detail and the ability to work logically, consistently, and accurately.

· Excellent numeracy skills combined with an inquiring analytical mind.

· Self-motivation and excellent time management skills

Desirable

· Sage Enterprise Management.

· Knowledge of Sage Line 50.

· Time & Attendance assistant

· Payroll 2 years preferred.
