The Deputy Director is a senior level post within Mimosa House’s small, dedicated team to help develop and deliver the organisation’s vision and mission. The post is an exciting opportunity for an experienced professional or someone wishing to progress their career to bring together expertise in fundraising, strategy & governance, financial management and operations. The role is critical to Mimosa House’s future strategic, financial and operational success and has scope to feed into the development of the programme by building new partnerships and evaluating existing activity to ensure ongoing reflection and improvement.
FUNDRAISING- Work with the Director and Fundraising Committee on the development and implementation of a fundraising strategy across public and private funding streams.
- Write and support funding proposals and grant applications in collaboration with the wider team, managing a pipeline of support to ensure timely submission of bids.
- Research, identify and solicit new sources of funding and sponsorship from trusts, foundations and corporate supporters to fund core and project costs.
- With the Director, manage relationships with individual patrons creating inclusive opportunities for them to engage in Mimosa House’s work.
- Work with relevant staff to consider how public programme activities can be strategically used for development purposes.
- With the Director, plan and manage special fundraising events.
- Manage existing and cultivate new mutually beneficial partnerships in close coordination with the Director.
- Ensure that Mimosa House carries out its commitments with funders and partners, including reporting and appropriate acknowledgement of support across all printed and online platforms.
- Develop commercial activities and earned income streams, including venue hires.
- Feed into discussions on the ethics of funding to help shape Mimosa House’s approach.
- Take a collaborative approach to working with the Director and key stakeholders to strategically develop Mimosa House’s programmes, partners, and premises.
- Generate (and make space for the team to also create) innovative ideas, new partnerships and relevant strategic projects.
- Update the Business Plan, Strategic Risk Register, Key Performance Indicators and other strategy documents, in close collaboration with the Director.
- Maintain (and implement where relevant) policy documents to ensure the ethical and robust operation of the organisation.
- Support the development of the Board of Trustees.
- With the Director, develop, manage and support agendas for Board meetings, as well as preparation of other documents, reports and Board papers.
- Ensure best practice and good governance in all aspects of Mimosa House’s activity.
- Where appropriate attend external meetings with a view to strategic development with specific groups as identified with the Director and Board.
- Support how public communications are aligned with Mimosa House’s needs.
- Work with the Director to set and manage budgets and financial resources, in line with organisational priorities and procedures.
- Act as key liaison between those providing additional external support with the management of finances.
- Ensure that financial records are accurately kept and reported to the appropriate statutory authorities and public bodies in a timely manner.
- Responsible for the production of quarterly management accounts, forecasts and cashflows.
- Oversee the day to day running of Mimosa House, ensuring the smooth operation and efficient use of resources and capacity.
- Lead on the drafting and management of supplier, partnership and freelance contracts.
- Ensure that Mimosa House, its staff, the artists, works shown and the visiting public are adequately insured and adhere to Health and Safety legislation.
- Contribute ideas to widen the distribution of outcomes from Mimosa House’s programme through partnerships, publicity and targeted activities.
- Represent the organisation at in-house and external events, which may involve public speaking.
- Support the evaluation of Mimosa House’s activities to reflect on their impact, feeding these results into a continuous process of learning and improvement.
- Relationship management: Interact with visitors to Mimosa House, ensuring a welcoming and inclusive space. Manage senior level relationships with individuals and institutions with the same duty and care as junior level relationships.
- Team management: Work as part of the team in the day-to-day running of Mimosa House. Upward-manage the Director and Board, ensuring that appropriate objectives and deadlines are set and reached. Deputise for junior and senior-level colleagues as needed. Line-manage the Gallery Manager and any temporary staff, including interns. Ensure that best practice and employment legislation is followed at all times.
- Administration: Ensure that the organisation meets and completes all tasks on time. Facilitate and input into project planning and forward thinking. Contribute to all necessary reporting on Mimosa House’s work such as annual reports, financial reports, etc. Maintain a ‘data trail’ of work in keeping with good practice. Co-ordinate and research information and evidence to inform decision making by the Director and Board of Trustees where delegated. Prepare reports and presentations for the Director as needed. Support the maintenance of the contacts database, ensuring information is up-to-date.
- Compliance: Carry out all duties in compliance with appropriate internal and statutory procedures, including in the maintenance of records and information related to the organisation and individual work. Adhere to Mimosa House’s policies on health and safety, data protection, the environment and equal opportunities, as well as national and international polices. Keep confidential all personal and professional matters relating to the Board, Director and work of Mimosa House, unless permitted to make public through an agreed medium.
Willingness to be flexible with work hours, including out-of-office-hours activity (such as evening and weekend programmes activity, fundraising events and Board meetings etc.). The post-holder may be asked to carry out any other duties that may be reasonably requested by the Director and Board of Trustees from time-to-time.
Skills and Experience RequiredREQUIRED SKILLS AND EXPERIENCE- Experience of business planning and strategic management ideally in a museum, gallery or cultural organisation.
- Substantial track record of researching and successfully fundraising from trusts, foundations and public funders including Arts Council England.
- A proven track record of managing funding relationships, especially with private individuals.
- Significant experience of financial management.
- Outstanding organisational skills and the ability to work under pressure and manage multiple priorities.
- The ability to build and maintain partnerships and collaborations with arts organisations, and to influence stakeholders, decision makers and opinion formers.
- An active participant in the London contemporary art world accustomed to networking with artists, gallerists, collectors, funders, institutions and other stakeholders.
- A creative thinker who can develop, communicate and implement Mimosa House’s evolving role as a key organisation within the arts.
- The capacity to critically reflect on the outcomes of Mimosa House’s work and the drive to continuously improve.
- A positive problem solver, team player and collaborator.
- An empathetic communicator who can write and publicly speak at a high standard to represent Mimosa House.
- Experience of managing staff and volunteers in a collegial way.
- Excellent interpersonal and problem-solving skills.
- Strong IT skills.
- Knowledge of social media platforms.
- An understanding of, and commitment to, equality, diversity and inclusion, and environmental sustainability.
- Passion for contemporary art and culture and for Mimosa House’s vision in particular.
- Understanding of the legal requirements for charities and companies, including the requirements of the Charities Commission.
- Experience of using small business accounting software.
