Role Description
 
We are looking for an enthusiastic individual who is quick to learn to join our team as a Receptionist & Events Coordinator at Shoreditch Arts Club. This is a full-time on-site role on Redchurch Street in East London.

The Receptionist & Events Coordinator is a dual key role at the company, which will present many opportunities for career growth and creative collaboration.

As a Receptionist you will be welcoming esteemed guests and members to the club with caring hospitality and ensuring their experience at the club is exemplary. This includes checking guests in and out of the premises, maintaining the organisation of the reception area and cloakroom, handling customer queries, providing tours of the venue on request (briefed by our General Manager)

Alongside day-to-day duties as a Receptionist, as the Events Coordinator you will be working with the Events team to handle enquiries from our existing and new clientele to plan and manage the smooth execution of requested events, ensuring communication is clear throughout the correspondences and meets the client's expectations. Event types can range from commercial (i.e. brand activations, showcases or awards) to personal (i.e. private dinner parties, private screenings).

Qualifications
Preferred experience in Events coordination/Logistics and/or Customer service/Hospitality
Excellent interpersonal and organisational skills
Preferred understanding of use of third-party tools such as OpenTable, EventBrite, TripleSeat, or similar backend/event organisation tools
Excellent communication skills including face-to-face, telephone and email
Fast to adapt and learn
Must be eligible to work in the UK

Core Responsibilities
Greet guests and members to the club warming and offering support and hospitality
Keeping track of day-to-day appointments to direct guests to correct location
Answering phone calls and responding accurately to callers' needs
Represent the business with positive attitude and professional appearance
Handling enquiries and email inboxes: answering, flagging and clearing enquiries
Use TripleSeat and OpenTable to book in events and restaurant reservations
Offer site visit support and tours of the venue to walk-ins upon request
Correspond with clients to plan and manage events from inception to execution stages
Assist with simple AV, catering logistics like AV setup, catering, and seating
Opening/closing the venue
Updating weekly BEOs and footfall reports
Cleaning and organising the reception area and cloakroom
