The role

The Technology Administrator will play a critical role in supporting the team in efficiently purchasing and managing inventory of goods and services necessary for the effective operations. This position requires a proactive individual with strong communication skills, meticulous attention to detail, and the ability to thrive in a fast-paced environment.

Responsibilities:

  • Responsible for the vendor management process in IT.
  • Checking supply quote to budget raising PO supporting through the governance process, including, updating relevant documentation to gatekeeper.
  • Maintain accurate records of all IT vendor management activities, including vendor contracts, purchase orders, and usage levels.
  • Coordinate with supplier & internal stakeholders to ensure accurate reporting and due diligence is maintained.
  • Monitor & produce report for KPI, SLA’s and usage levels to budget ensuring effect contact and budget management is achieved to avoid any potential delays or impact to operations.
  • Responsibility for managing dates to ensure appropriate Third-Party Management is in place aligned to procurement governance.
  • Work closely with vendors to resolve any issues or discrepancies related to orders, deliveries, or invoices.
  • Ensure compliance with company policies and procedures as well as relevant regulatory requirements.
  • Provide administrative support to the IT team, including scheduling meetings, organizing documents, and managing correspondence.
  • Stay informed about business needs, market conditions, and best practices in vendor management to contribute to continuous improvement initiatives.

Desirable knowledge & Experience:

  • Proven experience working in an administrator role, preferably in the financial services industry.
  • Strong proficiency in MS Office applications, particularly Excel, Word, and PowerPoint.
  • Excellent organizational skills with the ability to prioritize tasks and meet deadlines.
  • Exceptional attention to detail and accuracy in data entry and record-keeping.
  • Effective communication skills, both verbal and written, with the ability to interact professionally with internal stakeholders and external vendors.
  • Ability to work independently as well as collaboratively in a team environment.
  • A working understanding of IT systems and outsource relationships.
