Role Overview:
The Executive Assistant/Team Administrator will provide comprehensive administrative support to the senior members of the UK Miramar Leadership team. The role also involves collaboration with UK and US administrators and offering additional assistance to the wider team when required.
KEY RESPONSIBILITIES
Support for the CEO
- Scheduling meetings and calls (cc into emails and follow up to coordinate)
- Invenias admin – uploads, data updates etc.
- Expenses
- Document management – filing and admin
- Invoice Requisitions
- Administer board meetings and partner meetings
Support for Head of Ops
- Diary booking for one to ones & training sessions
- Admin support for Bullhorn (Internal recruitment database)
- Arrangement of candidate (internal rec) interviews, diary bookings & VCs
- Support for presentations and client document creation
- Planning & coordination of company events/huddles
- Marketing likes/sharing – promotion of
- Attend and minute Global Delivery Meetings
- Manage the update of the Delivery capacity spreadsheet
- Manage online memberships including Zoom etc.
- Support with IT issues and management of IT service provider & mobile phone provider
- General management of the office, including general maintenance, liaising with the management company and cleaning company & keeping the office stocked with stationary/food supplies
General
- Invenias – data input: ensure that data, roles etc are added accurately
- Invenias – database cleanse of companies
- Formatting CVs
- Deepsky invitations and calendar invites
- Deepsky admin support
- Travel and hotel bookings – both UK and overseas, internal team members and external candidates
- Support on recruitment projects with the scheduling of candidate interviews
