What will you be doing?
The successful candidate will oversee and manage the administrative processes that support our Fleet sales operations, ensuring efficiency and compliance with industry standards. This role is crucial in maintaining the smooth operation of our sales department and supporting our ambitious growth targets.
Key Responsibilities
- Leadership and Management: Leading and managing the sales administration team, providing direction, support, and professional development opportunities.
- Process Improvement: Developing and implementing efficient administrative processes to support the sales team, including order processing, documentation, and customer service protocols.
- Compliance and Documentation: Ensuring all sales administration activities comply with company policies and industry regulations. Overseeing the accurate and timely preparation of contracts, invoices, and other sales-related documentation using an electronic deal file system.
- Customer Service: Acting as a point of contact for internal stakeholders such as accounts, sales, workshops and logistics.
- Reporting and Analysis: Working closely with the Car Flow Manager to prepare regular reports on sales activities, administrative performance, and customer feedback. Analysing data to identify trends and areas for improvement.
- Collaboration: Working closely with the sales, finance, and operations teams to ensure alignment and effective communication across departments.
- Inventory Management: Working with the Car Flow Manager to oversee the coordination of vehicle stock, ensuring accurate records and timely updates to inventory levels.
- Training: Developing and conducting training programs for new and existing staff on sales administration processes and customer service standards.
- Technology Utilization: Optimising the use software to streamline operations and enhance data management.
Who are we looking for?
The successful candidate will demonstrate:
- Ideally, 5 year’s experience working in a Sales Administration role, preferably within the Automotive industry.
- Proven experience in managing a team.
- Strong leadership and organizational skills.
- Excellent communication and interpersonal abilities.
- Proficiency in systems.
- High levels of accuracy and attention to detail.
- The ability to analyse data and generate actionable insights.
- A customer focused mindset.
- The ability to work under pressure and meet deadlines.
- Adaptability and openness to change.
