About The Team – Workplace Solutions

The UK Workplace Solutions (WPS) team takes care of (IT) infrastructure, offices and IT and FM services for more than 500 UK colleagues, and form part of the global Royal HaskoningDHV WPS team. WPS offers efficient offices that inspire our clients and colleagues.

Role Context

To manage the day to day running of the office facilities including acting as the main facilities contact for staff, suppliers, and sub-contractors. Provide on-going support and administrative responsibility for initiatives/projects relating to the office(s) and play an active role in wider WPS innovations.
This role will be to cover our Newcastle and Edinburgh offices. There may be a requirement for business travel to offices around the UK.

Job Role

Some of your day-to-day activities will consist of:

  • First response for facilities, H&S and building-related matters, representing WPS with excellent customer service.
  • Manage the daily operation of the facilities within the office including security, maintenance, cleaning, and other services as required.
  • Maintain and manage accurate files relating to FM functions and contracts for the building for legislation and core works.
  • Manage and monitor contractor’ working in the office environment and maintain maintenance schedules.
  • Reviewing incoming invoices from suppliers and ensure discrepancies are closed out.
  • Undertake regular building inspections and take proactive action on any issues that may arise.
  • Develop office FM processes and ensure both legal and H&S compliance are consistently maintained.
  • Monitoring and responding to facility requests via our internal system WeConnect, for UK offices
  • Support colleagues with travel requirements
  • Place orders for office and ICT consumables as required, monitoring stock levels, and keeping these to a minimum.
  • On-hand for call-out, access, delivery queries or issues

Location
Newcastle or Edinburgh, with frequent travel between the sites.
