The main purpose of the role is to assist the Global Logistics Activities Manager with the delivery, control and management of Freight Activities controlled by the Freight Logistics Team in Aberdeen.
Main responsibilities
Communicate effectively on freight logistics movements with internal and external customers and freight partners.
Create packing lists/commercial invoices and/or collection manifests for shipments.
Apply for or coordinate destination specific license requirements.
Obtain quotes and make recommendation for suitable vendor and shipping method, where appropriate.
Arrange timely collection and delivery of local, national, and international shipment movements based on client or work scope priorities.
Providing import clearance instructions to freight logistics providers for all UK Imports.
Knowledge of UK Import and Export Customs Regimes.
Maintain communication with warehouse staff to ensure availability of shipments requested for collection.
Review and track shipments and ensure all relevant parties are notified of shipments status updates in timely manner.
Obtain and file copies of proof of delivery for shipments.
Issue pre-alerts for export shipments.
Assist and guide business with freight logistics enquiries.
Maintain and update freight logistics registers and files.
Review export and import customs entries for accuracy and compliance, liaising with freight providers and customs for any amendments if required.
Review accuracy of all Airwaybills, Bill of Laden for shipments.
Ensure all necessary purchase requisitions are completed and purchase orders issued to freight logistics providers in a timely.
Identify savings opportunities and implement savings initiatives with guidance from Global Logistics Activities Manager.
Apply for Export Licenses when required via SPIRE, ensuring traceability, and tracking of all associated documentation and communications for shipments, are filed in accordance with company and statutory requirements.
Conduct audit on import & export entries conducted by 3rd parties in the Businesses name to ensure compliance with legislative requirements.
Monitor the business Duty Deferment Account on Government Gateway Portal.
Submit timely requests for uplift of the duty deferment account with internal finance team when required.
Reconcile monthly MSS Reports from UMRC.
Support business teams on all aspects relating to the exporting and importing of goods, along with supporting domestic courier and road movements to meet client and business demands.
Support the client support teams with completing all customs formalities for goods moving to / from the United Kingdom Continental Shelf (UKCS).
Support client support teams with identification of appropriate HS Codes from the UK trade tariff as and when required.
Complete all time-writing for UKCS support actions within required guidelines.
Support Global Logistics Activities Manager in the creation and update of all freight logistics forms, processes and work instructions.
Carry out other administrative tasks to support the freight logistics process of the business as instructed by the Global Logistics Activities Manager.

HSEQ responsibilities
· It is mandatory that the incumbent is familiar with the Company's HSEQ Policy and takes an active role in the compliance and improvement of Sparrows Integrated Management System. The incumbent must report any incidents, near misses, actual or potential problems with products, services or systems to their Line Manager.
· The incumbent also has legal responsibilities under country-specific health and safety legislation to follow all Company processes and procedures and familiarise themselves with the emergency response arrangements applicable to them. The incumbent is also responsible for the health and safety arrangements of subordinates (if any) and for any persons visiting them while on the Company premises.

Qualifications and experience
· Previous experience in a fast-moving freight logistics environment
· Understanding of Inco Terms.
· Understanding of requirements for moving equipment to/from the United Kingdom Continental Shelf (UKCS).
· Dangerous goods air and sea experience beneficial.
· Understanding / of UK import and export regimes.
· Understanding of the UK Trade Tariff / HS Codes.
· Good communication skills, both written and verbal.
· PC literate ideally with experience IT Systems in Microsoft excel and word.
· Knowledge of freight logistics and regulatory requirements
· Knowledge of strategic and end use export controls
· Ability to act proactively and prioritise work with limited supervision.
· Ability to develop internal and external relationships with customers and freight agents.
· High level of attention to detail and accuracy in completing documentation.
