Purchase Ledger Assistant/Shipping

  • Location: Epping, Essex
  • Salary: Dependent on experience £28k to £33k
  • Job Type: Permanent office based

We are seeking a Purchase Ledger/Shipping Assistant to manage the import of hard goods and equipment, primarily from suppliers in the Far East and Europe. This role involves close communication with various departments, including Procurement and the Warehouse, to ensure smooth operations.

Day-to-day of the role:
  • Handle GINS from UTT and process Letters of Credit from the bank.
  • Update the system with the latest Freight Forwarders schedules.
  • Chase suppliers by email for any missing container paperwork.
  • Check and accurately enter supplier invoices/credit notes, ensuring correct VAT treatment.
  • Follow authorisation procedures for supplier invoices.
  • Prepare foreign supplier paperwork for payment and make foreign TT payments.
  • Set up new supplier accounts and process Letters of Credit.
  • Enter supplier invoices and credit notes onto the Clarke system.
  • Arrange delivery slots into the warehouse with the freight forwarder.
  • Update the shipping schedule and distribute it to appropriate staff members.
  • Email the ‘In transit report’ to relevant parties.
  • Set up a new container booking schedule, typically 2-3 weeks in advance.
  • Process shipping documents from suppliers and send them to the correct freight forwarder, logging details.
Required Skills & Qualifications:
  • Excellent written and oral communication skills.
  • Flexible working approach with the ability to work in a fast-paced environment.
  • High degree of accuracy and attention to detail.
  • Strong team player with the ability to work well within a team environment.
  • Ability to work under pressure and meet deadlines.
  • Enthusiastic and hands-on approach.
  • Computer literacy, particularly with Microsoft Office systems (Excel, Word, and Outlook).
