Find out more about What you will be doing In this role you will maintain the efficient day to day operation of the reception including the delivery of exceptional customer service both in person and over the phone. Alongside another Receptionist, you will manage the switchboard activity, assist with customer visits and events and to support other Reception & Facilities colleagues throughout the premises. This role is highly focused towards supplying all employees and visitors with an outstanding service providing an excellent first and lasting impression of Ricoh. To manage all aspects of the reception including switchboard and face to face services provided to all employees, customers and other visitors Greet all employees & visitors in a polite and professional manner, displaying a friendly demeanour and assisting all visitors through their visit by providing accurate information and ensuring that every effort is made to accommodate their requirements To assist and facilitate employee bookings of all conference and meeting rooms. Be fully aware of all activities taking place in the building on a daily basis and to provide support and assistance to deliver a first class service to all stakeholders. To assist with daily maintenance of meeting rooms Ensure all employees and visitors access the premises in the correct manner observing all associated processes for registering and monitoring access and the logging of visitors in/out of the premises Signing in and co ordination of Contractors coming on to site. Checking the relevant additional forms are completed in line with the work that is being carried out – Northampton only Assist with new starters applications and photo’s for company ID badges. Submitting both form and photo to the Northampton Team for production. To understand local and building specific information to supply advice and guidance to employees and visitors supporting them wherever possible. To understand specific H&S processes for the premises in order to support and facilitate during specific events (Evacuation/first aid) Provide support to other members of the reception and Facilities team and carry out any other reasonable duties to assist in the smooth running of the reception, meeting spaces and customer events Co-ordinate catering requests across the Ricoh sites, with the appropriate authorisation. With submission of forms to the Northampton Team, for processing. Po’s to be raised to allow ordering to proceed with individual suppliers. Invoices to be collated and checked for submission to the Ricoh Purchasing team to be receipted for payment. Issuing and recording of hospitality cards – Northampton only Ordering of stationary, catering supplies, business cards for Ricoh employees/ Offices.
