JOB SUMMARY:  

The Office Manager plays a crucial role in supporting the smooth and efficient running of London Speech and Language Therapy Services Ltd., a specialist speech and language therapy and multidisciplinary clinic. The role involves managing day-to-day administrative operations, ensuring high standards of customer service for both clients and staff, and supporting the delivery of client pathways from initial enquiry to discharge. The successful candidate will work closely with the Managing Directors to implement clinic processes, manage patient records, ensure staff administration is up to date, and maintain office systems for optimal functionality. 

Essential Criteria:  

  • Communication: Exceptional verbal and written communication skills, with experience in managing both difficult and routine client communications. 
  • Office Management Experience: At least 2-3 years of experience in an office management / administerial role or similar, ideally within the healthcare sector but not essential.
  • Tech-Savvy: Strong proficiency with office software including Microsoft Word and Excel, with experience in creating and maintaining spreadsheets, managing databases, and producing reports for internal and external use.
  • Booking & Scheduling: Familiarity with clinic scheduling and booking systems. Experience in managing appointments and clinician diaries, ideally within a health or therapy service.
  • Accounts & Invoicing: Experience with accounting software such as Xero or similar, for example, including generating invoices and tracking payments.
  • Confidentiality: Strong understanding of data protection regulations and confidentiality requirements, especially when handling sensitive patient information.
  • Attention to Detail: High level of attention to detail in maintaining client records and ensuring accuracy in administrative tasks.

 

QUALIFICATIONS AND SKILLS:   

Required Qualifications: 

  • GCSEs (or equivalent) in English and Mathematics.
  • A qualification in office administration or business management / administration (preferred, but not essential).
  • Additional certifications or training in healthcare administration, safeguarding, health and safety or data protection are advantageous.

Skills: 

  • Strong organisational and multitasking skills, with the ability to prioritise tasks and manage competing deadlines and multiple priorities. 
  • Knowledge of speech therapy service delivery and an understanding of clinical pathways is an advantage.
  • Excellent time management and attention to detail.
  • Excellent customer service skills, with a client-focused approach to administration.
  • Ability to handle confidential information with discretion and in compliance with GDPR.
  • Ability to communicate effectively with clients, staff, and owners. 
  • Experience in using Microsoft Office (Word, Excel, PowerPoint). 
  • Experience in using practice management software preferred but not essential. 

 

ADDITIONAL INFORMATION:  

Working Hours: Full-time, Monday to Friday. There may be flexibility for some remote working at the discretion of company ownership.

Salary: Competitive, depending on experience.
