Thisposition is a permanent part time role working 25 hours per week (negotiable ondays and start/finish times)

KeyResponsibilities:

  • Customer Service:
  • Maintain agenuine focus on excellent customer service for patients, clinicians, and otherstakeholders.
  • Ensurepatient confidentiality and privacy are always upheld.
  • Front of House Duties:
  • Performfront desk duties with excellent customer service skills.
  • Updatepatient demographics in the patient management system promptly.
  • Ensuretimely arrival, departure, and waitlisting of patients.
  • Referunwell or infirm patients to nursing staff promptly.
  • Patient Management System and Processes:
  • Standardizeprocesses according to Waitaha Canterbury Elective Services Guidelines.
  • Bookpatients by priority, managing 'greatest need, longest wait,' and meetingMinistry of Health requirements.
  • Ensureaccurate and timely data entry.
  • Communicatebooking information clearly and promptly to patients.
  • Seekclinical direction as needed, especially regarding re-categorization queries.
  • Considerpre-booking requirements, including timing of diagnostic tests.
  • Make clinicbookings according to the clinic template.
  • Maintainhigh levels of clinic utilization.
  • Minimizecancellations by working within the six-week booking horizon.
  • Prepareclinics and outcomes according to clinical team and business rules.
  • Ensure outpatientand SI PICS wait lists are aligned.
  • Filter waitlists according to service requirements and 'greatest need/longest wait.
  • Consultwith clinical and service management as needed.
  • Transcription Duties:
  • Completedictated letters within set timeframes.
  • Ensureaccuracy and presentation of written work.
  • Process anddistribute letters and outgoing correspondence promptly.
  • Excellent customerservice skills with a people-focused approach.
  • Technical proficiencywith data systems and ability to learn new applications quickly.
  • Strong organizational,time management, and problem-solving skills.
  • High level of accuracyand attention to detail.
  • Ability to workindependently and meet deadlines.
  • Effective coordinationof various inputs to achieve agreed outputs.
  • Team player withintermediate to advanced skills in Microsoft Office suite.
  • Excellent keyboardskills (50 - 70 wpm) and written/verbal communication skills.
  • Demonstratedperceptiveness and proactive approach in an administrative role.
  • Broad administrativeexperience in a health-related field.
  • Awareness of culturaldiversity.
  • Knowledge of medicalterminology.
  • Familiarity with thepublic hospital system, including patient management systems.
