The Executive Assistant to the Provost’s Office is responsible for providing comprehensive support to the Provost’s office and the Academic Leadership Team.
· Provide calendar management for Provost’s office and Academic Leadership team. Act as a liaison and provide support to the Academic Leadership team and other stakeholders. Arrange and handle all logistics for Provost’s office and Academic Leadership team meetings and events: schedule meetings; Complete a broad variety of administrative tasks that facilitate the Provost’s ability to effectively lead the organization, including assisting with special projects; making travel arrangements; Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the Provost’s office and Academic Leadership team, including those of a highly confidential or critical nature.
• Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect Provost’s style and organization policy.
• Act as a "barometer," having a sense for the issues taking place in the environment and keeping the Provost’s office updated. Anticipate Provost’s office needs in advance of meetings, conferences, etc.
• Coordinate all Academic Leadership Team meetings and assist with staff meetings and events as needed.
• Provide "gatekeeper" and "gateway" role, providing a bridge for smooth communication between the Provost’s office and staff, demonstrating Academic Leadership to maintain credibility, trust, and support with the Academic Leadership Team. Complete projects by assigning work to appropriate staff, including the Academic Leadership Team, on behalf of the Provost.
• Provide hospitality to all guests and help to create a welcoming environment.
• Answer Provost’s Office and Academic Leadership enquiries and respond to inquiries.
• Invest in building long-lasting relationships both externally and internally.
• Other projects/duties as assigned for the overall benefit of the organization.

Strong ability to execute work with a diversity, equity, and inclusion lens.
• Significant Academic Leadership team support experience, including supporting C-level executives experience is highly preferred.
• Expert proficiency with Microsoft Office and desktop publishing software; High degree of professionalism in dealing with diverse groups of people, including Board members, Academic Leadership team, staff, community leaders, donors, and partners.
• Ability to complete a high volume of tasks and projects with little or no guidance.
• Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.
• Ability to work well within a cross-functional team environment and diverse communities.
