Personal Assistant to Fashion/Creative Dynamo

Dear Candidate, 

This is a job advert. At first glance, possibly similar to all the ones you've seen in your search recently, but the reason we've decided to write this as a letter, is because this is a story more than a list of things you'll need to do. 

Before we begin, I want to confirm this is a highly unusual set of circumstances

The role itself has much of what you'd expect in a PA role; you'll do all the obvious things, such as the administration and the diaries, you’ll book travel, answer emails, organise mini-events (the bigger ones are outsourced), book meeting rooms and arrange flights (oh so many flights). 

But these tasks aren’t why this is a great role, so this is where the story begins. 

This company has a new London office in the fashion/creative space and is setting up a new London HQ. Because it's new, there are LOADS of things going on and moving fast. Even within their (fast) industry, the head of the company is renowned for being the leader of the pack.

The new London office, based in the West End, is going to be the hub where the wider team (many of whom currently work remotely) will appear between their travels (they travel a lot), and you're going to be the eyes and ears on the ground. 

Sometimes, you'll be in the office on your own (add recruitment cliche here: "You'll need to be a self-starter), and you'll need to be happy in your own space. Other days, however, it could be crazy busy with people. (And on that note, you need to remain calm in the presence of celebrities)

To demonstrate the kind of thing that may happen, I want you to imagine that the Principal and his travelling Assistant are in New York/Beijing/Dubai (or any other place on a map you can think of). They need someone to run (sprint) to the Principal's London house, grab a 'thing' and take it to the lawyer. 

Or it could be to run to an office to grab a sample, get it packaged, and put on a DHL overnight to New York/Beijing/Dubai in the next 60 minutes. 

But when everyone is back in London, the office will be packed with creative folk, all living their best lives, and they'll be that 'magic' that happens when you bring brilliant people together to work on a project (and they'll be a LOT of projects). 

Creatives, marketing, lawyers, and social media experts are all coming together to hit the next big deadline. 

The joy of this office is that it will be fun, most of the time - this is not an office where you'll be wearing 'office attire'. You'll be free to be 'you', and having recruited for the team previously, I can confirm that these are not just words on a job advert - self-expression, diversity, and freedom that you don't find in many businesses. 

Sounds good so far. So now the bad bits...

  • You'll need unprecedented flexibility, meaning you'll need to be available when they need you (often working due to crazy time zone differences).
  • You'll need to answer emails/calls at unsociable hours.
  • You'll need to be equally happy working on your own and part of a busy team.
  • Your input will help the team achieve its results, as opposed to you having ownership of specific projects (most of the time). You'll need to live in (or very, very close) to London.
  • You'll need to know London well (as many of the team don't) and know all the good places and the obvious ones.

What does a good candidate look like for this role?

Whilst we're not looking for perfection, we have a list of 'extras' that would be great if you have them (and we'll prioritise these candidates). 

You'll be free and open to occasional, last-minute travel. With this, we must be realistic and say that it's perfectly feasible for you to wake up on Friday morning ready to go to the office.

You'll get an email saying, 'Change of Plan', and that may involve you travelling to Paris that morning and suddenly your weekend has changed. **This won’t happen a lot, but it could happen**

  • You'll be in London; your ability to get to places without the reliance on an overground train (and the issues associated with reliability and frequency of trains are the problems here)
  • You'll have a clean driving licence and a valid passport.
  • You'll be fluent in both English and Italian to a professional/work/office -based standard .
  • You'll have a couple of years' experience working in a similar 'creative' environment as a Team Assistant/Personal Assistant.
  • You'll have patience because, given the team's busy schedules, we may be waiting around a lot for progress (but we'll do our best). 

So, there we have it, a job advert that tells the truth, inspires and is a fair reflection of what we consider pretty different in a PA role.
