The Digital Operations and Development Department is dedicated to providing our internal departments and clients with innovative solutions, exceptional ongoing digital support, and continued development of existing solutions. 


ABOUT THE ROLE


We are looking for a highly experienced Smartsheet Specialist to join our team and play a key role in optimising our digital development, daily operations and processes within Smartsheet and a range of other supporting platforms. This role supports the Head of the Department, managing a variety of assigned tasks ensuring our digital operations within Smartsheet are efficient, effective, and in tune with our business goals and objectives.


We currently operate in Ireland, Europe, and the Middle East - and your work will be invaluable in building our global presence.


This role will be executed remotely. 


KEY RESPONSIBILITIES


Smartsheet

  • Create customised Smartsheet solutions for a diverse range of use cases and users.
  • Oversee and maintain operational workspaces, troubleshoot issues, and implement updates, working alongside the Digital Operations Coordinator.
  • Develop and replicate existing project-specific digital workspaces and assets for internal operations, clients, and global events.
  • Liaise with the Digital Operations Coordinator to update operational safety systems, ensuring event safety updates align with the needs of the safety teams on the ground and Digital Operations Administrators. 
  • Stay ahead of new Smartsheet features, integrate changes, manage risks, and optimise systems.
  • Ability to navigate and manage sophisticated workspaces with hundreds of live assets, complex workflows and sensitive data. 
  • Apply imaginative and innovative approaches to maximise Smartsheet functionality and efficiency.
  • Develop and analyse data and metrics in Smartsheet, identify opportunities for improvement, and implement changes to optimise performance within Smartsheet.
  • Maintaining a clear understanding of the bigger picture and the implications of changes while being meticulous with details.


Backup Systems & Other Platforms

  • Maintain backup systems and procedures, including QR codes, Google Workspace, Box, Zapier, and other platforms.
  • Test the resilience of essential digital systems and clearly understand risk management and mitigation within the digital realm.


Collaboration

  • Work under the direction of the Head of Department, ensuring that the correct approval process is followed for development and operational work and alignment with overall department operations, goals, and objectives.
  • Work closely with the Digital Operations Coordinator and Digital Operations Administrators to ensure alignment in developing and subsequently building out workspaces for projects. 
  • Liaise with other departments to ensure Smartsheet systems are aligned with departmental needs.
  • Liaising with our design department, managing content and design requests for smartsheet dashboards and related systems/assets. Ensuring the look and feel for all digital assets are aligned with Safe Events Global branding.
  • Designing workspaces and workflows to cater to specific audiences and the context of usage.


Training & Development

  • Develop and update training materials and mapping for processes within smartsheet and other platforms alongside the Digital Operations Coordinator. 
  • Provide and coordinate smartsheet training internally and externally for stakeholders or clients.
  • Ability to tailor communication (verbally and written) to meet the user's needs, context and level of proficiency. 


Stakeholder & Client Management

  • Where assigned, engage with key clients and stakeholders to understand their needs and expectations.
  • Providing ongoing development and maintenance of client Smartsheet workspaces and multi-platform systems.


REQUIREMENTS


  • Strong proficiency in Smartsheet, with a minimum of 2 years working with Smartsheet and the ability to develop and implement advanced solutions. Proficient in Smartsheet and its advanced features, including formulas, functions, document generation, automation, and dashboards.
  • Familiarity with other digital tools and platforms, such as Google Workspace, Box, Microsoft 365, Slack, and Zapier.
  • Excellent project management skills, with the ability to manage multiple projects simultaneously.
  • Strong problem-solving skills and attention to detail. 
  • Exceptional communication and teamwork skills.
  • Excellent organisational and time management skills.
  • Ability to work independently and as part of a dynamic and growing team.


DESIRABLE


  • Smartsheet certified. 
  • Experience with OpenAI tools.
  • Experience working within the events industry or a similarly fast-paced industry.
  • Previous experience in a remote working environment.


OPERATIONAL HOURS


Our typical operational hours are 09:00 - 17:00 (GMT). However, flexibility is necessary, as we operate in multiple time zones and the Middle East, where weekends can fall on Friday and Saturday. Additional hours may be required during busy periods and will be agreed upon in advance, depending on project demands and workload.


Salary: Salary is negotiable for the right person, based on the value you will bring to the business, but will not be lower than €60,000 to €65,000 per year.
