Join a Leading Art Gallery as PA & Post Sales Administrator

A prominent art gallery in the heart of Central London, are in search of a top-class PA & Sales Administrator to join their team in support of their Founder. This is a fantastic opportunity to join a creative, innovative space with forward thinking professionals who love what they do

As a Personal Assistant & Post Sales Administrator, you'll play a crucial role in maintaining operational excellence. Your responsibilities will range from managing schedules to coordinating post-sales activities with clients, artists, and staff. This multifaceted role demands exceptional organisation, sales coordination skills, and a deep understanding of the contemporary art market.

Responsibilities:
  • Efficiently manage Directors' diary and appointments
  • Coordinate Directors' attendance at art events and exhibitions
  • Handle Museum Patronage memberships and correspondence
  • Manage inboxes and prioritise emails
  • Assist with departmental meetings and logistics
  • Coordinate travel arrangements
  • Provide administrative support on sensitive matters
  • Handle incoming enquiries and post-sale processes
  • Conduct client and artwork research
  • Prepare sales documents and contracts
  • Maintain CRM system and client records
  • Coordinate invitations and attend gallery events
  • Liaise with Finance and Logistics teams for smooth transactions
  • Organise paperwork for secondary stock acquisitions
Requirements:
  • At least 3 years proven experience as a PA or EA to senior leaders
  • In-depth knowledge of contemporary art trends and the art market
  • Ability to thrive in a fast-paced environment
  • Excellent written and verbal communication skills
  • Meticulous attention to detail
  • Polished and composed in a fast-paced environment
  • Proficiency in G-suite, Salesforce, and Microsoft Office
