The Centre for Black Theology (CBT) is looking for an administrator to support the Centre and Racial Justice (RJ) Project activities and events.

We are seeking a friendly, energetic, and skilled administrator to support the Centre Director. As well as carrying out tasks such as supporting student recruitment, preparing documents, and taking minutes at meetings, this will include creating flyers, handling enquiries, managing bookings, and ensuring the smooth running of large online events such as the monthly Black Theology Forum, conferences, and open days.

The postholder will use Microsoft and other software packages to carry out their duties and will also need to be skilled and experienced at supporting the delivery of large online events, and so must have strong operational knowledge of administering Zoom events with many delegates.

The postholder must have a sound knowledge and experience of Black Majority Churches (BMC), and cultural competence to provide effective support for the outward-facing events and activities of CBT and the RJ Project.

Key responsibilities:

To undertake general administrative duties for the smooth running of the Centre. Duties include:

  • Supporting the Centre Director in handling enquiries from BMC church leaders and other stakeholders
  • Handling internal and external enquiries regarding CBT and RJ Project activities
  • Booking meetings, taking minutes, circulating agendas, record keeping, and filing documents
  • Handling enquires from and pertaining to current students as required.
  • Supporting the processing and storage of video recordings for internal use, e.g. classes

Providing administrative support for recruitment of students. Duties include:

  • Handling and following up enquiries from prospective students regarding Undergraduate and Postgraduate courses and applications
  • Supporting the Centre Director in handling other enquiries from prospective students and stakeholders
  • Assisting in the planning and delivery of open days and information events
  • Organising applicant interviews
  • Liaising with the Registry team regarding applications

Processing, maintaining, and updating accurate student records and academic reporting processes. Duties include:

  • Processing new applications for the Academic Planning Group
  • Assisting with Registry team preparations for exam boards
  • Supporting Finance and Registry with the monitoring and collection of student fees
  • Supporting the maintenance of copyright content, e.g. on the virtual leaning platform, Moodle
  • Updating student records on the Unit-e database

Provide administrative support for external events (face-to-face and online). Duties include:

  • Assisting in the planning and delivery of publicity activities and events (including literature design and distribution to mailing lists and social media)
  • Managing an ongoing mailing list and guest correspondence for events (in-person and online)
  • Managing registrations for in-person events (e.g. room and meal bookings)
  • Managing registrations for online events (on Zoom/Eventbrite)
  • Attending and assisting in the smooth running of in-person centre events (e.g. ensuring availability of materials and resources)
  • Attending and assisting in the smooth running of online centre events (e.g. operating Zoom)
  • Supporting the processing and storage of video recordings of centre events

Essential skills and experience

  • Experience and knowledge of various expressions of Black Christianity, including the range of Black Pentecostal Churches
  • Creative proficiency for preparing publicity literature
  • Experience in technically hosting large meetings on Zoom and social media platforms such as YouTube
  • Strong IT skills using Office 365 (including Outlook, Word, PowerPoint and Excel) to administer online communication
  • Experience in clerking meetings for the planning of events, including good minute-taking skills

Desirable skills and experience

  • Experience in a similar Higher Education administrative role
  • Work-based experience with a Virtual Learning Environment, preferably Moodle
  • Educated to A level or equivalent
