ROLE SUMMARYAs a Care and Support admin you would be helping to maintain up to date computer and manual recordsand to aid all operational and office procedures. You will be assisting in all aspects of the day to dayrunning of the office including but not limited to filing answering the phone recruitment and draftingreports/emails.Please note if you are successful you will be required to enroll onto Business Admin Level 3 at New City College. This is a full time role. KEY RESPONSIBILITIES:As an admin your main responsibility is to ensure that all clerical needs are met and to support the officeteam to provide a safe and effective work environment for staff and living environment for service users.DUTIES AND RESPONSIBILITIESTo ensure the day-to-day operation of Care Supports office facilities.To carry out all office administrative tasks to include filing of reports and documents photocopying and answering the telephone.Supporting with Interviewing and vetting of applicants for employment with Care Support based on Care Supports policies and proceduresTo manage Care Supports Quality Documentation System in accordance with document control procedures.Assisting with maintaining and updating of records onto the rostering software of funders customers and care workers as required.Answering the telephone and directing all calls as appropriateAll administrative tasks that are required for the business to operate on an effective and efficient level.Helping all Care Support office staff with any of their duties as and when required.Typing and preparing letters graphs PowerPoint presentations communications and any external newsletters.Preparation of reports as required.Data inputting of timesheets using Care Support computer system.Dealing with payroll and invoice queries where appropriate.Collating timesheets with Invoices.Upholding Communication processes and Maintaining Staff and Client confidentialityAdhering and implementing Care Support policies and procedures.Maintaining and organising an affective archiving system in line with retention policy and GDPR laws.Provide a high-quality standard of care to customers living in their own home within an Extra Care environment.Enhance the wellbeing of Service Users by assisting with differing aspects of their daily living. This can include personal care which may include the following: helping to get up in the morning and go to bed in the evening dressing and undressing washing bathing personal grooming continence management and personal hygiene.Domestic duties including changing bed linen assisting with laundry cleaning kitchen bathroom vacuuming and dusting.Preparing or assisting with the preparation of meals snacks and drinks in accordance with their likes dislikes nutritional needs or cultural requirements.Promote and maintain physical independence of service users by correctly using mobility aids when needed as well as using moving and handling equipment safely and correctly.Develop a rapport with service users and cultivate a safe and supportive relationship.Support with their health needs as required e.g. supporting the service user in taking medication and to keep a clear and accurate record of your visit including medication chartsPLEASE NOTE THAT THE ABOVE DOES NOT INCLUDE AN EXHAUSTIVE LIST AND YOU WILL BE EXPECTED TO UNDERTAKE ANY ADDITIONAL TASKS REQUIRED WHERE APPROPRIATEPERSONAL ATTRIBUTES An understanding of planning and organisational skillsA level of computer skillsAn understanding administrative skillGood communication skillsAbility to cope with pressureAbility to cope with changeGood numerical skills and basic understanding of EnglishAdhere to a good level of personal hygiene and maintain a professional look.KNOWLEDGE AND UNDERSTANDING To be able to prepare reports as required.To be able to maintain all office policies procedures and systems.To be able to maintain all administration.To be able to establish and maintain effective working relationships.Willingness to complete the Care certificate and any additional training to aid with the day to day running of the companyBasic understanding of confidentiality/GDPR laws Key Skills Data Entry,Adobe Acrobat,AS400,EDI,Microsoft Outlook,Cloud Architecture,Microsoft Excel,Quick Books,Administrative Experience,Order Fulfillment,Project Implementation,Sales Support Employment Type : Full-Time Experience: years Vacancy: 1
