Day Receptionist / Personal Assistant

Temporary role- 2-3 weeks

Our client is currently seeking a talented and experienced Day Receptionist / Personal Assistant to join their team. As the first point of contact for visitors and guests, you will play a vital role in delivering exceptional customer service. In addition, you will provide executive assistance to the Vice President, ensuring efficient administrative support.

Main Responsibilities:

People Management:

  • Manage and support the Evening Receptionist's tasks, performance, and training.
  • Ensure effective handover before and after each shift.
  • Assist with any recruitment needs.

Executive Assistance:

  • Communication with executive-level employees.
  • Schedule and arrange logistics for board meetings.
  • Coordinate and organise internal and external meetings for the Vice President.
  • Prepare meeting agendas, manage minutes, and identify important items.

Administration:

  • Complete accommodation booking sheets and exit surveys for student groups.
  • Support the General Manager and liaise with faculty to implement and support programmes.
  • Provide secretarial support to the General Manager.
  • Assist with the distribution and collation of Scholarship Trust applications.

Hotel and Travel Arrangements:

  • Arrange external hotel accommodation when necessary.
  • Coordinate travel arrangements for staff.

Information Service:

  • Provide accurate and appropriate travel, tourist, and local information to guests.
  • Update travel information materials regularly.

Post and Deliveries:

  • Handle incoming and outgoing mail.
  • Receive and sign for deliveries as required.

E-mail, General Correspondence & General Information:

  • Respond to emails and forward to the relevant departments.
  • Acknowledge general correspondence.
  • Direct messages and information to the appropriate personnel.

Stationery and Merchandise:

  • Manage stock check process for stationary items.
  • Market and sell Campus merchandise.

Health & Safety:

  • Ensure monthly first aid box checks and fire drills are completed.
  • Act as the fire safety officer.

Guests & Visitors:

  • Meet and greet guests, providing information about the organisation.
  • Collect accommodation fees
  • Control petty cash.
  • Ensure visitors are directed to the appropriate personnel.
  • Provide refreshments.

Qualifications and Skills:

  • Minimum 5 years of experience as a Receptionist/EA.
  • Excellent time management and organisational skills.
