EA to lovely CEO of global art gallery

Our client is an established, high regarded global art gallery and their lovely CEO is looking for a new EA. He is looking for a dedicated 1:1 EA who can really add value and proactively take ownership of his inbox and calendar and make him more time efficient. He also needs solid support organising and prepping for board meetings, taking notes and action points and ensuring he is up to speed on all relevant information. This person will need to act as his gatekeeper whilst building and nurturing internal and external relationships on his behalf. Given the global nature of the gallery the CEO does travel 1 in every 5 weeks but it’s not complex and ever-changing itineraries. High attention to detail and good communication skills are paramount at this level. Duties will include but not be limited to:
Diary management/Correspondence
- Manage CEO’s inbox, prioritising and responding to internal and external emails and drafting replies for the CEO’s approval.
- Deal with all incoming requests and invitations and compose correspondence when required.
- Act as a strong gatekeeper for CEO, field all internal and external enquiries and organise all incoming work, meetings, and events into CEO’s schedule.
- Coordinate meetings with internal colleagues and external stakeholders as required. Prep, and brief CEO prior to these and debrief the team after.
- Oversee and manage CEO’s complicated diary, and travel schedule. Provide exemplary back-to-back diary management and coordination across all appointments.
- Provide travel packs with applicable briefing notes and ensure all visas have been obtained.
- Ensure all restaurants, appointments, bookings etc. are made and paid for
- Advise CEO of forthcoming meetings, travel, and events
- Archive and organise all correspondence as appropriate
Office/Stakeholder Management
- Understand the strategic priorities of the gallery and of the CEO; act as an intelligent filter on organising the CEO’s workload in tandem to that of the gallery.
- Liaise, build and maintain relationships with key internal and external stakeholders (including EAs and key contacts).
- Act as an intermediary between CEO and the senior team/board and other internal colleagues.
- Support the CEO on managing multiple projects, requesting, receiving and collating information from a variety of stakeholders and tracking progress against project milestones.
- Keep abreast of all relevant developments at the gallery and keep CEO briefed.
- Support CEO in all internal and external projects.
- Assist with events, guest list management and personal parties as appropriate.
This role requires someone with a can-do attitude and ability to think ahead at all times to ensure things run smoothly for the CEO. Whilst a background in art is not required an interested in that world and willingness to learn is important. Candidates must have proven 1:1 c-suite EA experience, longevity in their roles, ideally have a degree and have worked in a small to medium size firm before as whilst global its an intimate team. The right person will possess a friendly and proactive nature. The CEO is a really lovely boss to work for and you would be joining a lovely team and high regard business in the art world. This is also a new role that allows someone to carve it out for themselves and there will be lots of scope to grow too. This role will be based in the gallery 5 days a week.
