Reporting to: Operations Manager

Location: Colchester Office

Hours: Full time Permanent

Date: June 2024

Objectives


  • To ensure all quotations are issued to our Clients within our agreed Service Level Agreements (SLAs)
  • To review all Supply Chain Partner quotations, ensuring these are in line with our agreed rates at a competitive price, with the correct level of detail.
  • Analysing the market to ensure we remain competitive, as well as identifying weaknesses and opportunities.

Responsibilities include but are not limited to

  • Managing emails and phone call queries from Clients and Supply Chain Partners.
  • Research and analyse industry benchmarks, best practices, and Key Performance Indicators (KPIs) to identify areas for improvement and opportunities for growth.
  • Create comprehensive reports on key KPI’s, SLA’s and communicate benchmarking findings to stakeholders, including executive leadership. Clearly articulate insights, recommendations, and actionable strategies.
  • Work closely with internal teams, including Finance, Operations, Supply Chain and Compliance to gather insights and ensure alignment with organisational goals.
  • Collaborate with vendors and Supply Chain Partners to obtain competitive quotes for materials and services.
  • Evaluate and negotiate pricing to ensure cost-effectiveness.
  • Maintain and update a centralised cost database, keeping abreast of market trends, pricing fluctuations, and industry changes to ensure the accuracy of estimates.
  • Producing quotations received from Supply Chain Partners and issue to our Clients in a timely manner.
  • Reviewing and obtaining approval for uplifts on tasks.

  • The ability to negotiate with vendors and subcontractors to obtain the best possible pricing and terms.
  • Develop good and effective relationships with all aspects of the business internally and externally.
  • Excellent planning and organisational skills.
  • Excellent written and oral communication skills.
  • Ability to work independently or as part of a team.
  • Excellent attendance and time keeping record.
  • Exemplary attention to detail and excellent communication skills.
  • Professional telephone manner.
  • A positive and resilient attitude with a high level of self-motivation.
  • The ability to make decisions, take ownership and use your own initiative to resolve problems.


Knowledge and Experience

  • 3 years of experience in benchmarking, cost estimating, QS, engineering, data analysis, or a related field.
  • Experience within Facilities Management is desirable.
  • Excellent working knowledge of IT systems – Specifically Excel and Office.
  • Previous Customer Service experience.
