We are looking for a hardworking, charismatic and super organised EA who can help support an extremely busy and really lovely Founder as he scales his business. Our client runs a successful exclusive and luxury network which allows its members access the most desirable clubs around the worlds and the chance to be part of a really fabulous community where they can create new friendships and connections and find their tribe. The founder is extremely charming, refined, has strong values and is very passionate about his business and the brand. He is a creative at heart and has an appreciation of the aesthetic, precision and detail, however there is a lack of structure and systems in place so a methodical mind who can help build that in is key. Due to the continued growth of the business the Founder needs to find an Assistant to become his true right-hand support. Currently he is working extremely long hours and is in back-to-back meetings all day and working late into the night and he needs to find a better balance so he can spend time developing the long-term business strategy and the brand. Hence, he needs a skilled EA to come in and help manage his very busy inbox and diary and help him run more efficiently and be his gatekeeper/buffer. He has a lovely team of around 6ppl and as his EA you would act as a conduit between him and the team on various projects. Duties will include but not be limited to:

Executive Assistant Responsibilities:

  • Complex diary management, including planning and scheduling meetings, managing time to best effect.
  • Organising travel itineraries; flights, transfers, accommodation etc.
  • Inbox management for the Founder prioritising relevant emails and responding where appropriate in a timely manner.
  • Acting as gatekeeper / point of contact for the Founder and being his eyes and ears.
  • Preparing internal and external reports and documentation as needed.
  • Building and nurturing relationships with stakeholders, clients and key contacts.
  • Helping to write and compose content on behalf of the Founder for community newsletters and across social media.
  • Assisting with events (including organising logistics, people management, travelling to and attending events to help oversee and act as a representative of the Founder and the business and troubleshooting on the day).
  • Sorting and managing all expenses/invoices.
  • Assisting with business operations and implementing administrative systems and processes.

Private PA tasks:

  • Booking personal appointments.
  • Sourcing gifts for friends and family.
  • Booking personal travel.
  • Assisting with management of private property.
  • Handling household bills, car MOTs and services, property insurance renewals etc.
  • Being on top of important annual calendar dates (e.g. birthdays, anniversaries etc).
  • Tracking all important documents, ensuring all is up to date (e.g. passport, driving licence, etc). Ad hoc errands.  

This role will be based a couple of days per week in the office, one day from his home and the rest remote. Whilst well established this company is still a start-up that is scaling, so a flexible and adaptable nature is required along with a good work ethic and strong attention to detail. Due to the nature of the work it will require flexibility out of hours but this won’t be excessive. The right candidate will have experience working for senior executives or at founder level, and have worked in a small team, start up or scale up. Candidates with experience working with HNWIs or in the world of luxury goods, brands, travel or lifestyle management is desirable.
