Job Summary:A dynamic organization in Reigate seeks a Business Support / Operations Assistant to ensure the seamless operation of their office. The successful candidate will undertake a range of administrative and operational tasks to support the senior management team. The organization requires an individual who is exceptionally organized, detail-oriented, and capable of managing multiple tasks in a fast-paced setting.
Key Responsibilities:
1. Administrative Support:
- Handle general administrative responsibilities such as answering phones, managing emails, filing, and data entry.
- Aid in the preparation and delivery of regular reports to senior management.
- Develop and oversee a comprehensive electronic filing system.
- Organize and facilitate company events and meetings, including the creation of slide presentations.
2. Scheduling and Coordination:
- Arrange meetings, appointments, and travel plans for managers and staff.
- Prepare and circulate meeting agendas and minutes.
3. Data Management:
- Enter and update information in various systems, prioritizing accuracy and confidentiality.
- Provide database support to the distribution team, managing product orders, and customer invoicing.
4. Operational Support:
- Implement and manage office procedures and systems.
- Oversee inventory and the procurement of office supplies.
5. Customer Service:
- Act as a secondary liaison for internal and external inquiries, ensuring professional and positive interactions.
6. Special Projects:
- Take part in special projects and carry out additional responsibilities as directed by the Commercial Director.
Qualifications:
- Experience: At least 1-2 years in an administrative or operations capacity.
- Skills:
- MS Office suite.
- Outstanding organizational and multitasking skills.
- Excellent communication abilities, both in writing and speaking.
- A sharp eye for detail and strong problem-solving skills.
- The ability to work independently and collaboratively.
