MC Personnel is currently seeking a dedicated Permanent Front of House / Transport Administrator to join a reputable company in Rochester, Kent. The ideal candidate will have a strong background in administration with specific experience in transportation.
Key Requirements:- Add and remove vehicles / drivers using Fleetcheck and the Vehicle Spreadsheets.
- Ensure vehicles are added to the Insurance / DART / Congestion accounts and road tax paid.
- Request and record periodical vehicle inspections for entire fleet (weekly / monthly) including Greyfleet.
- Record HGV driver hours - check the defect sheets completed daily by the drivers and add to spreadsheet, ensuring permitted weekly driving hours are not exceeded.
- Ensure all drivers meet FORS and insurance requirements: request and record driving licence, periodical medical self-certifications, eyesight checks, FORS e-learning etc.
- Record all hire vehicles with details of dates, departments, cost, drivers etc.
- Scan and record every vehicle-related invoice to the relevant vehicle on Fleetcheck.
- Check and code Transport invoices on Paperless.
- Order, issue and record all Fuel cards.
- Record monthly fleet vehicle mileage and idling.
- Police, Penalty and Parking Charge Notices – Scan, record, investigate, appeal where necessary, contact drivers, make card payments, note outcomes, inform accounts to recover from wages.
- Book and pay for hotels / travel when required.
In addition to the specified role requirements, the successful candidate will also be responsible for general reception duties, administrative support tasks, and H&S, compliance, and supervisor support activities.
