Finance Assistant - Leading Painting Company - London - 40k- 45k

Join our dynamic and award-winning construction firm specializing in healthcare, education, historic, and public sector projects. We are seeking an experienced Finance Assistant to join our team in London. This role is essential for maintaining the financial health and integrity of our renowned painting company.

Role Overview:

As a Finance Assistant, you will support the Finance team and report directly to the company directors. This full-time position (Monday to Friday, 8:30 am - 5 pm) is based in our London office and encompasses a diverse range of financial responsibilities.

Key Responsibilities:

  • Subcontractor Financial Coordination: Manage subcontractor ledger, ensuring accurate and timely invoice entry and payments, fostering efficient relations.
  • Tax Compliance: Oversee Construction Industry Scheme (CIS) entries and returns, ensuring compliance with the latest legislation.
  • Supplier Payments: Handle payment runs, coordinating with vendors to maintain favorable terms and support cash flow.
  • Bank Transactions: Process weekly payments and receipts to ensure smooth and regulated cash flow.
  • Payroll Oversight: Coordinate payroll administration for around 40 staff, ensuring accuracy.
  • HR and Benefits Administration: Manage HR-related financial tasks, including pension schemes and payroll benefits.
  • Cash Flow Management: Monitor cash flow, identify trends for proactive financial decision-making.
  • Financial Reconciliation: Lead bank reconciliations to maintain accurate financial records.
  • Tax Returns: Manage VAT returns, focusing on Domestic Reverse Charge, ensuring timely and correct submissions.
  • Sales Ledger Management: Process sales ledger invoices for accurate revenue recording and credit management.
  • Finance Communications: Oversee the finance email inbox, responding to and redirecting queries for efficient communication.
  • Credit Control: Conduct credit control to ensure timely customer payments and robust cash flow management.
  • Accounts Administration: Perform thorough accounts administration, supporting the financial structure.
  • Full Accounts Preparation: Up to Trial Balance and month-end reporting.
  • Year-End Preparation: Leading preparation for audit.

Candidate Requirements:

Significant experience in a similar role.

Proactive approach and accustomed to working in an integrated finance team.

Familiarity with Xero, construction industry knowledge, and Excel skills are beneficial.

Additional Responsibilities:

Daily allocation of cash.

Raising invoices as per payment certificates.

Raising invoices and applications for payments based on POs.

Chasing payment certificates and payment dates from clients, reporting to FD/CD.

Monitoring PO balances and requesting uplifts where necessary.

Adding Purchase Orders onto CRM system.

Reconciliation of credit cards.

Monitoring timesheet entries and correcting where necessary.

Monthly sending of invoices & statements.

Liaising with staff to check and resolve queried purchase ledger invoices.

Updating the internal system regularly with client information.

Liaising with the credit insurance company to ensure all billing is insured.

Reconciliation of supplier statements.

Raising and tracking client rebates.

Reviewing subcontract orders and compiling a list of valuation dates monthly.

Providing holiday cover for the procurement department.
