KEY DUTIES AND RESPONSIBILITIES INCLUDE:

  1. To provide high quality administrative support and ensuring work is co-ordinated and completed within timescales.
  2. To participate in the rota for the Library Support Unit for office and reception cover, mail opening and other duties as required.
  3. To deal with enquiries, including members of the public at reception, referring telephone calls to appropriate members of staff and giving information or taking messages as appropriate.
  4. To use the organisation's financial systems as required for ordering and payments, claiming of funding and monitoring and reporting.To carry out duties as the Petty Cash and card holder e.g. fuel card, purchase card for the High Life Highland area office.
  5. To check and process timesheets (SAL6s) ensuring timescales are met for Payroll processing.
  6. Enrolling and maintaining SQA candidate details on website.
  7. Co-ordinating statistics for Adult Learning Manager and Libraries.
  8. Enrolling and maintaining DoE candidate details on website, co-ordinating and liaising with school DoE representatives.
  9. To assist Adult Learning Team with recruitment processes.
  10. To arrange, attend and take minutes of meetings as required.
  11. Maintain and archive records and information of ESF project for possible audit purposes.
  12. To maintain and monitor the High Life Highland filing systems, including archiving including ESF.
  13. To assist other areas/units of the Service with particular projects or in the event of holidays or sickness.
  14. To distribute various materials and information throughout the Services as required.
