Requirements
- Strong administrative or archivist background.
- Proven experience with Electronic Document Management System (EDMS) – ASITE, Projectwise, Assetwise, CEMAR, Business Collaborator (BC), eB etc.
- Strong knowledge of document control processes and systems on projects and knowledge of the interface management with Clients & Contractor will be required.
- Strong IT / Computer skills including proficiency in the use MS Office, Word, Excel, Outlook, Microsoft Teams/SharePoint
- Ability to work independently and attention to detail
- Experience working with external and internal stakeholders
- Knowledge of engineering / design documents and design approval processes
- Good understanding of London Underground (LUL), TfL & HS2 processes
- Prompt & Responsive
- Excellent attention to detail
- Basic knowledge of RFI/EWN/NCE (Knowledge of contractual implications of document control)
- Be highly flexible and adaptable to constantly changing requirements and priorities.
Responsibilities
- Scheduling and managing meeting
- Maintaining and controlling safety on job sites
- Occasionally based at project site
- Managing document databases
- Administering project databases
- Day to day site management
- Driving and tracking document approval
- Taking Meeting minutes
- Assisting project delivery
- Attending site coordination meetings / briefings
- Collation and gaining approval of O&M manuals on an ongoing basis during the design and installation phase of each unit so that they are complete and available at the point of handover.
- Gaining approvals for documentation for their uploading
- Owning the design registers and maintain their accuracy.
- Ensure adherence to all Company Policies and Procedures.
- To be fully conversant and compliant with all Environmental Health and Safety procedures.
- Complete quarterly ethics module as advised by Management.
- To fully comply with all Quality, Environmental Health and Safety directives including but not limited to PPE, Accident Reporting, Cardinal Rules, RAMS, ACE.
- Checking that project document protocols are being followed correctly for all uploads
- Distribution of drawings and other documents internally.
- Liaison with client and vendor document controllers to ensure quality standards are met.
- Compile and maintain project files.
