Job Purpose:

The post holder will be responsible for the efficient provision of administrative support within the Civil Parking Enforcement team.

The post holder will provide admin support to the Parking & Moving Traffic Offences Officers in their progression of all activities associated with the processing of Penalty Charge Notices (PCNs), through to debt recovery stage. The post holder will also assist with the administration of blue badges and resident parking permits including answering customer queries and processing all paperwork.

Duties and Responsibilities

  • Organise own time effectively so that work is completed within legislative timescales and agreed standards.
  • Carry out administrative tasks required to deliver and meet service requirements.
  • Deliver an effective and quality service within any stipulated timescales as defined by legislation and the service area.
  • To ensure that performance targets are achieved to enable the provision of a versatile and continually improving service.
  • Ensure that a high level of customer care and service is provided especially when interacting with members of the public and colleagues.
  • Understand what is required of them in their role and how this contributes to team and Directorate priorities.
  • Comply with all required legislative and council policies and procedures which includes the secure handling of confidential data.
  • Undertake any training courses as required for the role, ensuring that any principles and skills learnt are applied and adhered to.
  • Undertake a flexible and cooperative approach to work requirements and demands to ensure an efficient and effective service provision.
  • Adhere to Service Area procedures, processes, policies, and safe systems of work.
  • To contribute and support the development of schemes, reports, technical specifications, policies etc. as appropriate.

Job Specific Requirements

  • To process all incoming and outgoing correspondence in a timely manner, ensuring all deadlines are met.
  • Use a bespoke document management system to process Penalty Charge Notices/Blue Badges, Resident Parking Permits.
  • Make uniformed decisions with regards to documentation and customer requests received, and effectively prioritise tasks.
  • To maintain effective administrative systems by adding and updating accurate information as appropriate.
  • To carry out any administrative tasks or general office duties to support the wider Civil Parking Enforcement teams as reasonably required.
  • To communicate in writing to customers via a bespoke document management system ensuring that clear and concise responses are issued via a hybrid mail system.
  • To communicate over the phone advising members of the public on the Penalty Charge Notice process, Parking Permit and Blue Badges Scheme, and Debt Recovery.

  • Although you will be provided with a base, you will be required to work from various locations in accordance with the needs of the role.
