Studio Manager

We’re partnered with an award-winning architecture firm based in Barbican, London who are seeking a well-organised and hardworking professional, to join their HQ as Studio Manager.

In this varied role, you will be at the forefront of our fast-paced design hub ensuring the smooth day-to-day running of the studio and the productive engagement of the team. This role reports directly into the Practice Manager and works closely with the leadership team.


Studio Management

  • Manage the day-to-day running of the studio
  • Maintain stocks of consumables including stationary, cleaning and catering, including supplied and equipment for remote workers.
  • Instigate new systems where appropriate to help facilitate and improve the overall management of the studio and home working environments.
  • Manage and liaise with contractors and suppliers regarding studio maintenance, including day to day cleaning and general facilities related matters.
  • Liaise with landlord and expedite all premises-related issues including access and security.
  • Liaise with tenants and neighbors.
  • Deal with booking, timing and arrangement of spaces and online meetings to suit practice and project needs.
  • Liaise with functional champions on matters such as library, samples, models, etc.
  • Organise refreshments for meetings as required. Maintain meeting spaces during the day.
  • Act as first point of contact for the practice; managing telephone system, and welcoming visitors and deliveries.
  • Distribute post and deliveries.
  • Maintain the smart appearance of the studio, kitchen and meeting spaces.


Communications

  • Maintain our website as directed.
  • Organise presentations incl. project presentations and updates.
  • Ensure handbook is up to date and processes are communicated to the wider team
  • Organisation of networking/team events, when required.


CSR (Corporate Social Responsibility)

  • Assist the Head of Sustainability in developing and disseminating practice sustainability plans
  • Assist in the review and development of practice environmental and CSR policies.
  • Management of environmental policies and certifications (RIBA, HoTC and ISO 14001)


Human Resources

  • Assistance of HR Administration, when required.
  • Assist in reviewing and updating all practice policies and procedures.
  • Assistance of new starter inductions, including IT set up and allocation of workspace and equipment
  • Support the coordination on training sessions and CPD meetings.
  • Support the management of students of work placements.
  • Point of contact for our “Build the Way” trainee programme including attending meetings, assisting with marketing and communications.


Finance

Assist the finance team when required, i.e. updating and overseeing the studio budget, following up on receipts and bookkeeping.


Person Specification

  • Previous experience as an Office Manager, Studio Manager or similar role.
  • Highly organised and detail-orientated, able to manage own workload and juggle conflicting priorities in a fast paced environment.
  • Clear communicator, able to liaise with senior leadership, architecture and external stakeholders.
  • Creative-mind, with a keen interest in Art, Design, Architecture or Build Environment would be beneficial.
