Role Overview:
The Tenant & Property Administration team is responsible for ensuring an excellent standard of customer service and support to the Company’s tenants, ensuring a prompt, courteous and professional response always. The Property Administrator will be office-based, although there may be the need to undertake site visits on occasion.
  
The purpose of the role is to:
Undertake a variety of administrative duties to assist the Asset Management and the Estates Management team.
To liaise with tenants, suppliers and any other callers to the business.
To carry out all duties in a professional manner and to adhere to procedures, always polices and guidelines.   
Main Duties:
Develop an understanding of the Property Management System (Qube) and using it to be able to maintain the tenant/property database, ensuring that all updates are made in an accurate and timely manner.
Produce ad hoc invoices/credit notes and statements.
Generate service charge documentation and letters for tenants.
Monitor key tenancy event dates and generate any necessary documentation.
Interrogate the system to provide information for tenant enquiries / internal reporting.
Make appropriate arrangements to ensure smooth handover of properties to new, and from vacating, tenants ensuring that meter readings are taken when necessary and details provided to the Accounts team.
Liaise with the Estates Management team to ensure that tenant concerns (including maintenance and repair issues) are investigated promptly and acted upon.
Liaise with the Estates Management team to ensure that statutory checks and inspections are booked and undertaken in a timely manner.
Liaise with the Estates Management team to ensure that risk assessments are reviewed at least annually and any corrective action carried out.
Ensure that insurance details for contractors and suppliers are regularly checked and copies of documentation held on file for inspection.
Assessment and Method Statements from contractors and / or suppliers in advance of the commencement of any estate works.
Liaise with local authority ratings and valuations offices to ensure that business rates are correctly allocated and charged;
In the case of queries, liaise with utility companies to ensure that charges are correctly allocated and applied.
Attend and contribute to weekly Estates Management meetings with Property Director   
The Candidate:
Applicants should be good communicators, and know how to prioritise tasks, with a background in maintenance, facilities, or property management.
