As a Gabbitas Tutor Consultant, the primary purpose of this role is to facilitate the seamless connection between families seeking educational support and qualified tutors, ensuring a personalised and effective tutoring experience. By meticulously assessing the needs of each family and thoroughly evaluating potential tutors, the role aims to match the right expertise with specific requirements, fostering positive learning outcomes for students. Moreover, the role is instrumental in maintaining strong relationships with clients, continuously improving service quality, and driving business growth through strategic marketing initiatives. Ultimately, the purpose of this role is to uphold Gabbitas' commitment to excellence in education by providing tailored tutoring solutions and fostering an environment conducive to academic success and personal growth.

 

Roles & Responsibilities

 

Client Engagement and Relationship Building:

·     Professionally and promptly respond to inquiries for tutors, establishing strong and trusting relationships with families.

·     Ascertain the exact tutoring requirements of each family through effective communication and active listening.

·     Negotiate contract terms and fees with families, ensuring mutual understanding and agreement.

 

Tutor Screening and Evaluation:

·     Screen and interview potential tutors, assessing their professional qualifications, capabilities, and expectations to ensure alignment with client needs.

·     Evaluate tutor applications and credentials meticulously, shortlisting candidates based on suitability for specific tutoring assignments.

 

Contract Management:

·     Manage contractual processes with tutors, including negotiating fee rates and finalising agreements to meet both client and tutor expectations.

·     Ensure all contractual agreements are accurately documented and processed in compliance with company procedures.

 

Client Communication and Service Delivery:

·     Prepare and present tutor profiles tailored to clients' requirements, highlighting relevant qualifications, subject expertise, and key attributes.

·     Match tutors with families based on client specifications, ensuring an optimal fit to meet educational objectives.

·     Communicate tutor details and service terms to families promptly and effectively, addressing any queries or concerns.

 

Data Management and Administrative Tasks:

·     Input and maintain accurate tutor and client records in the company's CRM system and Tutorcruncher, ensuring data integrity and accessibility.

·     Generate client invoices and process tutor payments efficiently through Tutorcruncher, adhering to established timelines and procedures.

·     Perform necessary administrative tasks associated with the role, including documentation, reporting, and correspondence.

 

Marketing Support and Business Development:

·     Collaborate with the marketing department on advertising campaigns and events to promote tutoring services and generate future business opportunities.

·     Contribute to the development of advertising materials, including adverts and e-shots, to attract prospective clients and tutors.

 

Continuous Improvement and Client Satisfaction:

·     Maintain regular contact with key families and tutors, soliciting feedback, offering innovative solutions, and addressing any issues or concerns promptly.

·     Enhance service quality and client satisfaction by implementing improvements based on feedback and industry best practices.

 

Compliance and Process Adherence:

·     Ensure compliance with company processes and procedures at all times, adhering to established guidelines and standards.

·     Stay updated on industry trends, regulations, and best practices related to tutoring services, ensuring adherence to relevant policies and guidelines.

 

Professional Development and Networking:

·     Pursue opportunities for professional development to enhance knowledge and skills relevant to the role.

·     Build and maintain effective networks with internal colleagues, external partners, and clients to support business objectives and foster collaborative relationships.

Essential Requirements:

 

·    Passion for Education: A genuine enthusiasm for the field of education and a strong belief in the value of tutoring as a means of academic support and personal growth.

 

·     Sales and Marketing Skills: Demonstrated ability to effectively sell and market tutoring services, including negotiating contracts, setting fees, and promoting services to prospective clients.

 

·     Interpersonal Skills: Exceptional communication skills, both verbal and written, with the ability to build and maintain relationships with individuals and families at all levels.

 

·     Organisational Proficiency: Highly organised with a systematic approach to managing tasks and priorities, ensuring efficient handling of client inquiries, tutor screenings, and administrative duties.

 

·     Negotiation Abilities: Strong negotiation skills with the capacity to negotiate contract terms and fees with clients and to facilitate agreements that meet the needs of both parties.

 

·     Resilience and Positive Attitude: Calm, positive demeanour with a 'can-do' attitude and resilience to handle stress and pressure while maintaining attention to detail and delivering quality service.

 

·     Educational Experience: Background or experience in the field of education, including familiarity with entry tests such as 7+, 8+,11+, 13+, and sixth form, as well as knowledge of independent and selective schools in the UK.

 

·     Administrative Competence: Proficiency in managing data and records using recognised management systems, as well as experience in interviewing, selecting, and shortlisting tutor applicants for interviews.

 

·     Client Management Skills: Previous experience in client management, both domestically and internationally, with a track record of maintaining strong client relationships and delivering high-quality service.
