Operating out of our offices in Newark on Trent, Newgate are looking for an enthusiastic and confident Contracts Administrator to join our busy Contracts team.
Reporting directly to the Contracts Manager; you will be responsible for the day-to-day administrative support of the Contract’s team. This is a crucial role that requires strong administrative skills, attention to detail and the ability to work collaboratively with customers, other departments and site teams.
Key Responsibilities
* Inputting new contracts on to Contracts Master Schedule
* Obtain missing information on contracts sheets eg: addresses (invoice & site), telephone numbers, contact names
* Manage Supply only contracts – Updating customers and booking haulage
* Keeping ERP and internal company project folders updated
* Create Install & Civils job packs (Add RAMS / Drawings and File)
* Purchase orders to be raised for transport (record POs on haulage log along with costs)
* Log contracts for Invoicing and send to Accounts team
* Organise Contract Engineer’s hire equipment when required and off hire when necessary
* Delivery Note amendments
* Contact customers on contract completion with O&M and Supply only warranty forms
* Keep client’s portal updated
* Process Engineers Reports Daily
* Process Van Checks Daily
* Time sheet reviews weekly
* Assist Service department with the engineer’s reports when required
* General office administration: filing, answering calls and recording incoming emails
Skills, knowledge and behaviours:
* Previous administration experience in a similar role, customer service focused background
* Demonstrate ability to plan, organise and prioritise work (for yourself and other team members)
* A good standard of literacy and numeracy, grade C in Maths and English GCSE (or equivalent)
* Strong communication and relationship building skills
* Have confidence to ask questions/ challenge
* Excellent IT skills with knowledge of ERP systems preferably Sage (Oracle, SAP etc.)
* Competent in both Excel and Microsoft Office

Hours: Monday to Friday (39.25hours)
Monday to Thursday 07.45 to 16.30
Friday 07.45 to 14.30
