RESPONSIBILITIES

Event Planning & Management:

  • Organise and execute virtual and in-person events, including Vistage Executive Summits, National Conferences, CEO Climb events and Experience Vistage events.
  • Source and contract venues, liaising with our US legal team, manage logistics, and oversee AV production.
  • Ensure seamless pre-event and post-event coordination.
  • Partner with AV companies to adapt events to virtual formats as needed.

Event Execution:

  • Manage all event logistics, including travel, accommodation, catering, and signage.
  • Coordinate on-site inspections and quality assurance for new venues.
  • Ensure effective on-site execution and team briefing.
  • Liaise with keynote speakers to ensure they are fully prepared for delivering outstanding sessions.

Marketing & Communication:

  • Update and publish event pages on the UK website and MyVistage.
  • Deliver pre and post-event event communications and manage event recordings
  • Prepare and distribute event invitations and promotional materials.
  • Track event registrations and enhance marketing efforts as needed.

Event Reporting & Budgeting:

  • Create and maintain event reports, dashboards, and budgets.
  • Monitor event spend and ensure timely financial processes.
  • Use event management systems (CVent, Salesforce) for data collection and reporting.

Sponsorship & Partnerships:

  • Support sponsorship opportunities and breakout sessions at events
  • Coordinate with sponsorship manager for event setup and post-event reporting.


QUALIFICATIONS

Experience:

  • 5+ years of event management with a proven track record.
  • Budget management and financial process knowledge.
  • Experience with AV and virtual event platforms (Zoom, GoToWebinar).

Skills:

  • Strong project management and multitasking abilities.
  • Excellent communication and negotiation skills.
  • Proficiency in Microsoft Office, particularly PowerPoint and Excel.
  • Familiarity with Salesforce, Tableau, and Cvent is advantageous.

Key Attributes:

  • Proactive, detail-oriented, and able to handle pressure.
  • Strong problem-solving and logistical skills.
  • Ability to work both independently and as part of a team.
  • Reliable, trustworthy, and holding a full clean driving license.
