About the Role

Innovate Care Group is seeking a dedicated Clinical Administrator to join our team and play a vital role in supporting our care-operations and clinical teams. This position is essential in ensuring the highest standards of patient care through meticulous attention to detail, exceptional organisation skills, and effective communication with diverse stakeholders.

The Clinical Administrator will be responsible for managing clinical documentation, maintaining comprehensive patient records, coordinating the procurement and distribution of essential medical supplies, and facilitating meetings and training sessions for clinical staff and service users. Additionally, this role will involve collecting and analysing clinical data for quality improvement purposes and assisting with the management of clinical software systems.

With a strong commitment to excellence and a passion for supporting healthcare operations, the Clinical Administrator will contribute significantly to our mission of delivering outstanding care to our clients.


Responsibilities

  • Getting familiar with different Service Users, Families and Projects (JR - Homeward Bound Pathway) and ensure good level of communication and coordination between stakeholders.
  • Downloading, printing, and organizing clinical documentation in accordance with regulatory requirements and team requests,
  • Ensuring timely and accurate mailing of essential documents to relevant stakeholders (mail paper MAR charts/clinical charts/Care Plans to client's homes/schools).
  • Collaborating with clinical staff to maintain comprehensive and up-to-date patient records (NON clinical information, e.g. telephone numbers, addresses, etc.
  • Managing the procurement and distribution of essential medical supplies, including personal protective equipment (PPE).
  • Ordering necessary items while adhering to company's budget, keeping accurate expense records
  • Liaising with suppliers to ensure timely delivery and address any supply issues.
  • Maintaining inventory levels and tracking usage to prevent shortages - communicate with field teams and families
  • Organizing and facilitating meetings and training sessions for clinical staff, service users, and the Clinical Team - liaising with Clinical Leads to confirm availability and training subjects.
  • Collaborating with Clinical Leads to chase Clinical Documentation from relevant stakeholders (Request medication lists, hospital reports, clinic letters, etc) and file them safely within service user's System Profile.
  • Collect and analyse data for quality improvement purposes - Maintain and update task matrix - document companies' KPI's
  • Assisting with the collection, management, and analysis of clinical data and statistics - keen to learn and develop/upgrade different Clinical Software Systems.
  • Document relevant meetings (CLINOPS, CIAMS, VCR's), actively listening, summarising and sharing with relevant stakeholders within Innovate



Skills Required

  • Experience in a medical setting with understanding of clinical terminology
  • Excellent communication skills, both written and verbal
  • Strong typing skills and proficiency with Microsoft Office Suite
  • Outstanding organisation abilities
  • Ability to multitask and coordinate multiple calendars/diaries
  • Emotionally intelligent with a positive attitude towards work
