The role
We are looking for an accomplished administrator to support within the Service Delivery area of our client’s business.
The successful candidate will have an eye for detail, be an exceptional administrator with the ability to manage several different projects within a fast-paced environment.
You will be required to communicate problems and issues to relevant people in a clear and concise manner.
Be positive and proactive, with the ability to be a team player with willingness to assist others as and when required, as well as being able to work on your own and manage your own time.
Responsibilities
To ensure that all jobs completed result in the appropriate Compliance Report and / or Certificate, and that each of these documents is sent to the relevant point of contact, including, but not limited to the client portal and that all compliance jobs are completed in line with the schedule produced
Support the Operations manager in all aspects of managing the day-to-day coordination of service delivery requirements as specified by the customer. To understand all the requirements of our Clients services and be able to act as the point of contact between sales and the client.
* Contact clients to book in or move service delivery start/finish dates, confirm by email and prepare and send all required contract correspondence (security clearance, method statements, risk assessments etc.) as the jobs progress through to completion.
* Ensuring permits are in place for service delivery.
* Day to day point of contact for Compliance Technicians/Surveyors to ensure work instructions are clear.
* Prepare and / or issue work instructions via the use of digital compliance systems, for the Compliance Technicians and Surveyors.
* Setting up schedule of works, jobs, and asset management within the digital compliance system.
* Liaising with Sub Contractors, providing work instruction and all relevant paperwork to undertake services on our behalf
* Completing compliance reports and certificates following job completion – all to be sent to relevant contact and uploaded to client portal in accordance with customer requirements.
* Appropriate PPM schedule(s)/programme of works being updated daily, with all compliance report information including, but not limited to - date of work completed, any outstanding works, all problems, financial records and any other information.
* Liaising with the Planning team on resource and allocation requirements to ensure services are delivered within timeframe and client’s requirements.
* Check that the engineers shift payments on programme are correct on a daily basis, following each job completion. To be notified to planning for any changes, as and when required.
* Ensuring that the digital compliance system is always up to date with the job progress notes.
* Assist other members of the Service Delivery team, as and when deemed required.
* Instruct stores for special order/hire items in a timely manner.
* Passing all jobs through to accounts for invoicing, on job completion.
* Raise sub-contract purchase orders and laboratory analysis orders for authorization ensuring that prices are within budgeted costs.
* Resolving service delivery related problems and liaise with relevant line manager where required.
* Answering telephone within 3 rings and routing call to appropriate person or passing messages.
Understand fully the Service Level Agreements, Scope of Works, and ensure that all colleagues involved with the planning & coordination of the works are fully versed in the requirements.
Health & Safety Responsibilities
* Production of method statements, as required
* Production of risk assessments, as required
* Be familiar and comply with all relevant sections of the Company Health and Safety Policy
* Weekly service delivery team meetings
* Other meetings as deemed required by the operations manager
