Job Description
Front of House Duties:
* Meet and greet all site visitors, ensuring a warm and professional welcome.
* Manage the visitor log and ensure all guests are directed to the appropriate personnel.
Office Supplies Management:
* Monitor and replenish office supplies, including stationery, kitchen supplies, and other essentials.
* Coordinate with suppliers to ensure timely deliveries and manage inventory levels effectively.
Cleaning Coordination:
* Manage and coordinate the office cleaning schedule, ensuring the office is maintained to a high standard.
* Liaise with cleaning staff to address any issues and ensure tasks are completed as required.
Support to Site Team and Document Controller:
* Assist the site team and Document Controller with filing and managing paperwork, ensuring all documents are organized and accessible.
* Provide general administrative support, including photocopying, scanning, and archiving documents.
Meeting Support:
* Attend meetings as required and record minutes, ensuring accurate documentation of discussions and action items.
* Distribute meeting minutes to relevant parties in a timely manner.
IT and Office Systems:
* Utilize office software and systems effectively to support administrative tasks.
* Troubleshoot basic IT issues or coordinate with IT support as needed.
Qualifications
* Strong IT skills, including proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
* Excellent communication and interpersonal skills, with the ability to interact professionally with visitors and team members.
* Well-presented and professional demeanor, representing the company effectively.
* Strong organizational skills with the ability to multitask and prioritize tasks efficiently.
* Previous experience in a similar role is advantageous but not essential
