Our Company:

East Eden Ltd is a leading health and social care provider operating four nursing/residential facilities in western Trust area Northern Ireland.

The post holder may, on occasion, be required to attend training sessions or team meetings in other East Eden facilities.


Relationships:
Responsible to Home Manager/Deputy Manager/Nurse-in-Charge, Regional Manager, Director(s) Responsible Person


Liaises with Patients Representatives and other visitors to the Home, HSC Trust Representatives (mainly Care Managers), East Eden Staff at all locations and levels of seniority.

Summary:
To provide administrative services to aid the Home Manager in the efficient running of the care centre.

Administrative Responsibilities
- l To meet and greet visitors to the Home and direct them as necessary to the appropriate person or place in the Home.
- l To prepare correspondence, both internal and external, for the Home Manager and the Directors and to maintain a record of such correspondence.
- l To field incoming calls, forwarding to appropriate personnel or taking detailed messages as appropriate and to maintain a record of telephone calls received by the Home Manager and on behalf of the Directors.
- l To receive and distribute the daily post, maintaining a record of all items received.
- l To attend meetings, as requested by the Home Manager or Directors, in order to record minutes of such meetings.
- l To adhere and comply with all East Eden policies and procedure's, assist with administration re forms for use throughout the Home in keeping with the Home Managers specifications and RQIA's requirements.
- l To provide administrative support to nursing staff, as requested by Home Manager.
- l To provide Administrative Support to the HR Dept and to Accounts Department as required, to assist with payroll when required in the absence of accounts staff.
- l To ensure that information is shared amongst office/care staff only in keeping with the Policy on Date Protection and with the Data Protection Act.

General Responsibilities

  • To liaise with administrative staff/ accounts staff in other East Eden locations to ensure cohesion in policy and procedure.
  • To report to the Home Manager any verbal concerns/complaints raised by patients/visitors.
  • To respect the confidentiality of patients, other staff and the Home life at all times and to comply with the Data Protection Act, including when using social networking systems.
  • To be resourceful in the use of supplies.
  • To be aware of fire procedures and exit plans for all areas of the Home.
  • To demonstrate a positive, enthusiastic, committed and flexible attitude towards patients/residents and other staff members, recognising the importance and benefits of effective team working.
  • To deliver service in line with 'best practice', ensuring compliance with relevant policy.
  • To maintain a good level of personal presentation, using company provided work attire.
  • To take responsibility for work area, ensuring it is maintained in line with current Health and Safety legislation and all relevant policies.
  • To provide assistance to senior staff if/when an untoward incident occurs.
  • To recognise your own limitations and to seek guidance or support from the Home Manager as appropriate.
  • To actively implement company policy, including our 'Equal Opportunities' policy.
  • To maintain vigilance in regards to the protection of vulnerable adults and to report any suspected incidents to the Home Manager.
  • To carry out any other duties within the scope, spirit and purpose of the job as requested by the Home Manager or Directors.


East Eden Ltd is committed to the development and implementation of systems under Clinical and Social Care Governance to ensure continuous improvement in the quality of services provided.

The post-holder will be expected to co-operate and work with such systems.

Pay:
£13.50 per hour

Expected hours: 37.5 per week
