The Cardiology department at the Luton and Dunstable Hospital is seeking to recruit an enthusiastic and motivated band 4 medical secretary to join our team on a 2 year fixed term with a potential to extend.

The post holder must be willing to work for other Consultants within the directorate.

The post also demands the ability to communicate at all levels with patients, relatives, medical colleagues and allied health professionals and maintain a high standard of service to meet the needs of the patient.


You will be able to work as part of a busy and proactive team to achieve targets and cope with work based pressures.

The medical secretary will provide comprehensive administrative support to medical, nursing and management staff.


The successful post holder will work to ensure that patient enquiries are dealt with efficient and effectively, whilst also taking responsibility of their designated consultant waiting lists, ensuring slots are appropriately utilised.

Act independently to sort, distribute and prioritise incoming work. Act independently to plan, manage and prioritise own workload.

Knowledge and experience of office and secretarial practices. To organise and manage an efficient/effective filing system, thus ensuring all office practices are up-to-date and functional.

Extensive key board skills including, touch and audio typing. Knowledge of software programmes

Appropriate knowledge and understanding of medical terms and procedures


To provide the first point of contact for all written and telephone enquiries on behalf of the Consultant and his/her team, using judgement to establish validity and priority of the contact.

Work responsively in order to meet urgent deadlines e.g. complaints and requests for information, ensuring patient confidentiality is maintained.

Working alongside Cardiology Admin Lead, outpatients and 18 week team to ensure clinic slots are appropriately prioritised.

Ensure that results and correspondence are up-to-date in the notes as far as is practicable.


To ensure that all correspondence produced by the Department, including clinic letters, discharge summaries and administrative letters are typed and dispatched promptly to the referring Consultant/GP.

This may involve reading reports over the telephone maintaining confidentiality at any times.

Obtain and collect hospital case notes as requested by consultants.

Order and maintain non stock equipment and stationery for the office.

To make appointments, maintain diary and manage arrangements within the office for Consultant. This will necessitate the post holder being able to prioritise certain areas of the Consultant's time.

Notify relevant departments of Consultant/Junior Staff annual/study leave

To work closely alongside the Outpatient department to manage clinics, making necessary cancellations and reschedules according to consultant's rota

To ensure referrals from other Consultants and GPs are dealt with in a prompt manner.

Organise and support regular/ad hoc meetings as required. Participate in taking minutes for the meeting as needed. Ensure relevant equipment for meetings is available.

Assist colleagues in providing a reasonable level of cover for the work of absent secretaries when necessary.

Liaise with other hospitals regarding referrals and appointments.
