ustwo is a global digital product agency which operates across London, Malmo, Libson, New York and Tokyo.

As a studio group we design and build digital products, services, and immersive experiences that bring joy to our users.

We are looking for an experienced Global People Operations Coordinator to undertake a variety of HR administrative tasks.

You will be one of three super users of our current People system (Sage) and be responsible for administrative support across the entire employee lifecycle, playing a key role in creating a first class employee experience.


About You


To succeed in this role, you must have an eye for detail, be a cultural ambassador, be proactive in communicating with different stakeholders effectively, you thrive in an agile environment and have experience of working with different HR platforms.


Location
This role will be based in the London studio in Shoreditch at Shoreditch High Street E1 6HU.

We currently have a hybrid policy in which you are required to be in the studio on our universal day on Tuesdays and are welcome to either work from the studio or from home for the rest of the week.

We are keen for you to be involved in studio culture so the more you can get involved in opportunities for in-person social interaction the better

Responsibilities

  • Cocoordinating the induction process and ensuring that new starters have a seamless experience, including creating employment contracts and other relevant paperwork prior to their join date.
  • Processing preemployment checks where necessary for new starters.
  • Managing the probationary review process (escalating unsuccessful or extended probationary periods to the People team)
  • Support in maintaining the HR system (currently Sage) and associated records, such as sickness and holiday entitlement.
  • Be the first point of contact in the People team answering queries and providing basic practical advice to managers on HR policies and procedures.
  • Maintaining our ustwo guide with up to date policies and procedures.
  • Get involved in ER issues, recruitment, employee engagement, monitoring absence and organisational change.
  • Play an active part in engagement and wellbeing activities and assisting with our Bcorp agenda.
  • Draft HR paperwork for staff in relation to contract amendments, as instructed.
  • Provide administrative support during salary and promotion cycles.
  • Assist with the scheduling of employment relations meetings for the People Partner, i.e. performance, grievance and disciplinary sessions and notetaking where required.
  • Ensuring our offboarding experience is as seamless as our onboarding experience.
  • Assisting the wider People team with daytoday tasks and global projects.
  • Support the wider People team with production of regular HR Data and Analytics,.
  • Maintain benefits administration including pension & insurances
  • Preparing and auditing payroll information with finance.
  • System admin & Super user. Setting up the backend configuration for new policies. Running reports and responsible for company dashboards.
  • Responsible for overseeing the studio training budget.
  • Admin and reporting from our engagement survey system (CultureAmp)
  • Visa process & relocation coordination together with People Team
  • IR35 status checks
  • Monitoring of employee lifecycle events, e.g. probationary periods, visa renewals etc

  • Knowledge of UK and/or Swedish employment law
  • Experience from working with Sage would be an advantage
  • Experience from working with Greenhouse (ATS) is an advantage
  • Other language(s) than English would be an advantage
  • Familiarity with G-Suite
