An opportunity has arisen for
Personal Assistant - Senior Leadership Team to join our Leadership & Support team in a rapidly expanding and exciting work environment.

This is a key role in supporting the CCO and CSO, serving as a coordinator of their schedules, travel, and supporting communication and coordination with internal business teams and external stakeholders.


Job role:

  • Manage and organise a highvolume professional calendar across multiple time zones and priorities, schedule and coordinate appointments, meetings, and travel as necessary, including the facilitation of hospitality and catering as required.
  • Arrange complex and detailed international travel including flights, hotels, visas, ground transport, as well as producing comprehensive and detailed itineraries considering cost and integrity to the WAE brand.
  • Proactively send reminders to the CCO and CSO and relevant stakeholders of reporting deadlines and support the creation of reports and presentations as required.
  • Filing and minute taking where requested.
  • Assist the EA to CEO with event planning, including Christmas Parties, Staff Open Days etc.
  • Work closely with other PA's and EA's where appropriate, whilst sharing best practice maintaining effective relationships both internally and externally, and ensuring adequate secretarial cover is maintained across the team.
  • Management of all expenses (concur) and credit card reconciliations each month.
  • Providing Holiday sign off and absence recording for the Directors' reports

You'll have:

  • You will be representing WAE and the C-Suite, therefore excellent communication skills, discretion and professionalism is a must.
  • Previous experience in a PA role, supporting senior management with extensive diary management.
  • Additional industry experience, that may support would be beneficial
  • The ability to work to a high standard with little direction, often under pressure with the ability to be resourceful and multitask.
  • Strong MS project, excel and power point skills
  • A proactive approach to work, with a high level of attention to detail and enjoy working to deadlines.
  • The ability to work collaboratively, with no task too big or small and build relationships across the whole business
  • Must be able to flexible in working between Grove HQ (Oxfordshire) and Kidlington Office (Oxfordshire) locations. This is an essential prerequisite of the role.
