Responsibilities will include:
Project Team Support
You will provide general admin support to technical teams to assist them to effectively manage
their projects. This can include supporting with specific aspects e.g. Pipeline, project set-up
forms, Project Pursuit Tool (PPT), meeting minutes, document control. It may include organising
meetings so you will need to be comfortable using Microsoft Outlook. Daily responsibilities can
include scheduling meetings, preparing agendas, taking and distributing minutes and arranging
all the necessary conference room facilities, including arranging travel and accommodation. You
may be required to assist with the organisation of external events. You will assist with the
preparation/formatting of documents using the Microsoft Office suite (Word/Excel/PowerPoint)
and ensure filing and archiving systems are maintained.
General/Facilities
You will be a point of contact for telephone enquiries and for welcoming visitors to the office.
General duties include, but not limited to, arranging, scanning and distributing post, couriers, and
internal/external printing. Keeping stock of office supplies and placing orders when necessary.
Assisting in organising both internal and external events
Bid Support
You may be required to assist with collating information relating to bid documents and
tenders which could require liaison with different teams/departments across the business
and/or completing supplier questionnaires.
Business Information Systems
Using your IT skills you will need to raise purchase orders on our e-PL system and use
elements of Oracle e.g. process expense claims, assist others to complete their timesheets
and book travel via Egencia (training is provided). You may be required to set up wi-fi codes
for visitors and to arrange meetings/communicate with colleagues using MS Teams.
Client Development
You may be involved with providing admin support to managers who are responsible for
developing relationships with some of our key clients. This may involve you assisting with
the organisation of external events.
Health, Safety, Security and Environment
You may be required to perform a role within our Emergency Response Team (eg
Fire Warden, First Aider, Mental Health First Aider), for which training will be given.
About You:
You will have previous experience of working in a busy office environment and have strong skills in Microsoft Office. You will have strong communication and organisational skills.
You will have a high degree of self-management, initiative, reliability and flexibility to ensure that the best possible service is given to internal and external clients.
You are able to exhibit composure and a positive outlook while effectively planning, prioritising, and executing your work responsibilities. you will demonstrate professional expertise in your field, independently handling routine and non-routine tasks.Finally, you will confidently engage with external contacts and colleagues at all levels to foster clear and productive communication on administrative matters.
