Main Purpose:


To provide general administrative support, processing of medical records movements and incoming clinical correspondence to the practice clinical team and to provide additional patient facing support to the reception team as required.


Key Tasks:

RECORDS
The team contribute to the updating and maintenance of all patient records. This will include the following.

The list is not exhaustive:

  • Update registration and clinical details.
  • Input new patient registration data.
  • Transmit new registration and deregistration data updates to Practitioner Services/Primary Care Support England (registration details and records transfers).
  • Highlight incoming mail for coding.
  • Provide data for house calls (printed visit summary sheets).
  • Scan incoming correspondence and workflow to correct clinician.
  • Workflow Out of Hours contact details to correct clinician.
  • Workflow incoming results to correct clinician.
  • Process incoming new patient records.
  • Accurately refile any paper records accessed by clinicians.
  • Repair damaged Lloyd George/A4 records.
  • File/scan paper and sort it according to agreed protocols.
  • To action incoming mail according to agreed protocols.
  • Clinical Records management, Scanning and filing of reocrds

Health & safety:

The post-holder will assist in promoting and maintaining their own and others' health, safety and security as defined in the practice health & safety policy, the practice health & safety manual, and the practice infection control policy and published procedures

This will include:

  • Using personal security systems within the workplace according to practice guidelines
  • Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks
  • Making effective use of training to update knowledge and skills
  • Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards
  • Actively reporting of health and safety hazards and infection hazards immediately when recognised
  • Keeping own work areas and general/patient areas generally clean, assisting in the maintenance of general standards of cleanliness consistent with the scope of the job holder's role
  • Undertaking periodic infection control training (minimum annually)
  • Reporting potential risks identified

The post-holder should recognise the importance of effective communication within the team and will strive to:

£10.50 per hour
