We are looking for a well organised and confident administrator to provide administrative support to the organisation and contribute to the day to day running of the main office and appointments team.

To be responsible for the administration of Relate services and to carry out day to day financial duties in line with procedures.


As part of the admin team you will be supporting the day to day delivery of appointments, register clients, update on appointments, ensuring team targets are met and excellent customer service is achieved.

To accurately setup, input and retrieve data, produce timely and accurate monthly and quarterly monitoring reports. Carry out day to day financial duties in line with procedures, to ensure the center and has adequate resources to run the day
- to-day and provides a welcoming and safe environment for clients and staff.

The successful applicant must have relevant experience of working to strict deadlines, be proficient in Excel & O365 have excellent people and communication skills and have the ability to work to support a busy team and to provide a client centred, confidential service and deal sensitively with the public

This full time post is based in our main office, near Five Ways in Birmingham.

The working hours will be daytime Monday to Friday but due the nature of the work, some flexibility in working hours to include evenings and Saturdays will be needed to meet the requirements of the role.

It will also involve working at other centres/locations from time to time to provide cover as part of the support team and attend relevant meetings.


KEY TASKS & RESPONSIBILITIES

Service Administration

  • To administer Relate services, monitoring referrals and waiting times and regular liaison with clients, counsellors, managers and other staff to ensure effective delivery
  • Proficient in Microsoft O365, Excel, word, outlook and inhouse databases
  • Actively monitor the appointment service, reporting on utilisation, waiting times and client payments
  • Provide weekly and monthly statistics, activity reports and service delivery updates.
- be a central point of contact and communication for the counselling team

  • Provide regular monitoring information for the Service Manager
  • Carry out day to day financial duties in accordance with procedures including the recording WorldPay virtual banking
  • To ensure confidentiality, good record keeping, data protection and financial procedures are adhered to
  • Keep the Relate Birmingham website up to date regarding our services
  • Ensure premises have adequate resources to run the day
- to-day work of the organisation. Provide a welcoming and safe environment for clients and staff including some light cleaning of the building
