The Role:


Over the last 30 years, the company's ecological practice has developed a strong reputation and proven track record as a leader in the field.

The Major Projects Team was established to provide ecological support to high-value, long-term schemes across the country, including large infrastructure projects.


Day-to-day, you will be working with project managers and members of the senior leadership team to help coordinate the Major Projects department and portfolio of projects, collate and disseminate project documentation and stay on top of internal communications (by logging minutes, actions and issues and ensuring these are tracked and dealt with appropriately).


We expect the post holder to immediately provide timely and effective assistance to project managers on key tasks to enable smooth running, build relationships across the company and externally to facilitate clear and swift communications.

Specific postholder duties include, but are not restricted to:

  • Timesheet collation from staff for submittal to client for sign-off while meeting client deadlines.
  • Collating information to make and submit on time Applications for Payments (AFPs).
  • Tracking payment schedules and assisting the finance department in invoicing and client queries to ensure prompt payment.
  • Supplier invoice reviews, payments and purchase ordering.
  • Client liaison.
  • Booking inductions, medicals, and training for staff.
  • PPE and team equipment supply and monitoring.
  • Produce fee proposal documentation including any supporting documents required for tenders.
  • Keep detailed records of client deadlines, ensuring that they are met.

Skills And Experience:

Essential skills:

  • An excellent working knowledge of Microsoft Outlook, Word, Excel, PowerPoint and SharePoint
  • Sound experience of diary management for complex calendar appointments
  • Good written and oral communication skills
  • Numeracy for project accountancy
  • Good time management, with the ability to work unsupervised and under own initiative

Desirable skills:

  • Early project management experience
  • An understanding of risk, commercial and financial management
  • Client relationship management experience
  • A recognised project administration qualification
