About the role

The Billing Executive role will be responsible for the administration of processes to ensure the accurate and efficient generation of invoices, as required, for our commercial partnerships.

They will also be responsible for invoices and self-billing arrangementsfor subcontractors on Reed in Partnership and Reed Wellbeing programmes.

The role holder will ensure accurate records of claims and statement of accounts for supply chain partners are maintained at all times.

The Billing Executive will organise authorisation processes to ensure our partners claims are processed in an efficient and accurate manner and will engage with Purchase Ledger to ensure invoices and credit notes are paid to contractual timescales.

The role will provide support to the Billing Team Leader and Claims Analysts in the compilation of Claims and processing of sales invoices and sales ledger analysis, as required for accounting purposes.

This Job Description does not constitute an exhaustive list of duties and the Billing Executive will be expected to carry out any other duties as may be specified by the line manager from time to time.

Key Responsibilities
Income and Supply Chain invoice processing

  • The Billing Executive will be responsible for the daily updating of DWP all claimed files and preparing journals to allocate income to the appropriate cost centre.
  • Working with the other departments to extract approved claims from customer database to prepare consolidated information for Sales Ledger to process the invoices raised by DWP
  • Maintaining up to date Supply Chain Self Billing agreements as required.
  • Working with the Claims Analyst to maintain supply chain statement of accounts and to ensure the All Claimed and All Paid are accurate and up to date
  • The processing of approved Sales Invoices onto Oracle as required.
Claims Administration
The Billing Executive will also be responsible for the administration of the periodic supply chain self-billing process ensuring our partners claims are processed in an efficient and accurate manner

  • The extraction of approved claims from the All Claimed files to update spreadsheet based records of DWP contracts
  • The periodic administration of the supply chain selfbilling process for end to end providers including
  • Extraction of all events 'approved' for payment on customers database during the period from Orion
  • Act as point of contact for Supply Chain Management and the provider for claimrelated queries
  • The periodic reconciliation of provider All Paid and statement of account files to ensure invoices raised are an accurate reflection of actual claimed performance
  • Development and generation of selfbilling processes for NDPP selfemployed coaches
  • To prepare reporting on the supply chain claim cycle to monitor the efficiency of transaction processing and provider payment.

Skills and Experience

Essential Attainments:

  • Demonstrable experience in dealing with high volumes of data with excellent attention to detail
  • Excellent excel spreadsheet skills, comfortable with pivot tables and manipulating data
  • Experience of and an ability to quickly understand and follow complex systems and procedures
  • Able to understand and process changing requirements in a fastmoving environment
  • Proven track record of building professional relationships, both internally and externally, as a representative of Reed in Partnership and Reed Wellbeing

Desirable Attainments:

  • Previous experience in a transactional finance role
  • Experience of producing reconciliations
  • Experience of Oracle systems
