The post will support the Reception / Office Manager in providing an efficient and professional administrative and clerical service for the area.

Reception Supervisor/Clerical Team Leader (band 3)

Part time post: 22.5 hours per week


A vacancy has arisen with the axess Sexual Health department for an enthusiastic and highly motivated individual to undertake the role of Reception Supervisor/Team Leader.

Working alongside the Clerical Officer Manager, the post holder will act as front line reception supervisor

The post will be based at Knowsley with occasional reception cover at our Kirkby site. You should, therefore be flexible and your own transport is essential.

You should have previous clerical and keyboard and RSA stage II qualification. Knowledge of the Sexual Health Liliesystem is essential.

Excellent communication, organisational skills and telephone manner are also essential, together with the ability to work on your own initiative as well as part of a team.

Hours of work will be discussed at interview, but flexibility is essential.

  • To facilitate the day to day running of the work environment and promote good working relationships amongst members of staff
  • To support the Clinical Support & Results Team Leader / Service Coordinator in providing an efficient and professional administrative and clerical service for the area
  • To supervise and manage the reception and telephone triage in accordance with local policy and procedures
  • Organise and compile staff rotas ensuring reception and telephone triage line are fully staffed
  • To identify necessary changes to local protocols necessary to aid service improvements and highlight these to an appropriate manager
  • To follow correct processes for dealing with complaints and escalate as necessary
  • To prioritise urgent correspondence and enquiries using own initiative and judgement and seeking guidance when required
  • To support staff to ensure they receive adequate training and development relevant to their role
  • To implement and supervise the reception emergency contingency procedure in relation to computer or network break down
  • To ensure staff follow policies and procedures as required across clinics and sites where necessary acting as source of advice to others in relation to electronic and paper records
  • To respond to queries / enquiries from the public at reception and on telephone triage and directing patients appropriately
  • To enter and amend patient personal information into Electronic Patient Record systems
  • To communicate fluently and clearly with patients without judgement and with empathy
  • To liaise with colleagues at all levels both within the team and across other agencies
  • To support delivery of services across all shift patterns and Axess Sexual Health main and sub hub locations required by the needs of the service
  • To participate in training and development programmes as necessary
  • To undertake any other duties commensurate with the role including cover for and undertaking duties of absent colleagues as and when required
