About the Trust

We provide a full range of hospital and community services for people in Sheffield, as well as specialist care for patients from further afield.
What you'll be responsible for:
- Organise Consultant/Specialist Nurse outpatient activity, using hospital EPR systems. results reporting system and any other identified data base e.g. Infoflex, to book new and follow up appointments, in line with Trust/National policy, to meet local and National targets.
- Daily pulling and filing of large volumes of case notes for outpatient clinics recording the latest tracing for those not in file. This involves the use of ladders/kick stools/trolleys as the case notes are stored up to ceiling height and requires a high degree of physical effort due to the weight and bulk of the notes required for each clinic.
- Liaise with other clerical and administrative staff to identify current location of case notes required for clinic appointments when they are not in the library. This involves considerable Organisational and problemsolving skills to ensure all missing notes are located before the required tight deadlines. Make arrangements for timely delivery/collection. Retrace the current location of these notes to maintain an efficient retrieval service.
- Arrange clinic cancellations and amendments, in line with Trust policy, to meet local and National targets.
- Liaise regularly with colleagues, including management team, Clinicians, and other administrative staff to ensure full utilisation of all available outpatient slots.
- Continuous use of the hospital computer systems to identify whether case notes exist for new outpatient appointments.
- Amending the Patient Administration system as appropriate.
- Manage partial booking/review lists, liaising with the Patient Booking Hub and reporting potential overdue patients' appointments to the Outpatient Supervisor.
You'll learn the following whilst working at the trust:
- An in depth understanding of the roles and responsibilities involved in working within the NHS
- Knowledge of the systems used, to effectively complete your role to the highest standard at all times
- A sense of teamwork, gained through working alongside and supporting colleagues from all levels, within the organisation
You'll have the following skills/experience:
- System knowledge
- Infoflex and EPR
- Experience within a similar role
- Excellent organisational skills
- Excellent communication skills
- Excellent telephone manner
- Microsoft Office package knowledge e.g., Outlook, Word, Excel
