Position Finance Manager

Salary £51,500 per annum

Hours Full time

Contract type Permanent

Location In the building. Hybrid working option available (part working in the building and part remote). This post is not suitable for full remote working.

Purpose of job

Responsibilities include monthly financial reporting, monitoring of programme and project contracts, supporting the annual external audit, management of tenancy contracts and group VAT returns. Line management of two staff in the team, and support for the day-to-day running of the department. The post holder co-ordinates with the programme and projects team to monitor and record project activity for the Arts Trust and Watershed Ventures to ensure accurate accounting for all programme activity and funds.

The post holder is expected to support and deputise as required.

This post is a member of the Strategic Management Team sharing responsibility for Watershed's business planning and performance.

Main responsibilities
  • Prepare monthly company and group management accounts and balance sheet reconciliations for the 3 Watershed entities, Watershed Arts Trust Ltd, Watershed Trading Limited and Watershed Ventures, (delegating to the Assistant Management Accountant any specific preparation of accounts for Watershed Trading) for review by the Finance Director prior to distribution to the Executive, Senior Management Team and Finance Sub Committee of the Board.
  • Prepare financial reporting of project and programme grants including quarterly reporting (as required by the programme funders) and regular review meetings with project managers. Effective monitoring of core programme and project activity, including regular liaison with the creative programme team, maintaining accurate records of income and expenditure, ensuring that backing paperwork is up to date to audit standard, producing financial reports in a timely manner as required by funders and internally, preparing and submitting and monitoring funding payment claims as required.
  • Supervise and support the work of the assistant management accountant and finance assistants in correct accounting for all accounts payable, receivable, bank reconciliation, cash handling and authorisation of all weekly payroll and supplier payments.
  • Representing the Finance department at Creative Team meetings and other meetings/working groups as required, ensuring the needs of the finance function are met.
  • Build and manage relationships with internal budget holders and external stakeholders, in relation to budgets and financial reporting.
  • Produce a monthly cinema sales income report for distribution to Budget Holders and the submission of monthly box office returns to the ICO (Independent Cinema Office).
  • Manage rent and service charges from Watershed's leasehold tenants to include effective monitoring of service charges expenditure against budget and preparation and distribution of year end service charge accounts.
  • Review payroll reports supplied by external payroll provider including journal postings, completion of reconciliations and preparation of payments to HMRC, and calculation of holiday pay accruals.
  • Maintain an overview of Watershed Arts Trust and Watershed Trading Limited cashflow, ensuring that any potential issues are identified in advance.
  • Control and review all debtors and creditors with the Finance Director to maintain the working capital requirements of the Watershed entities.
  • Produce the quarterly VAT return for the Watershed companies and file the group VAT return ensuring that the correct VAT status is applied to all income and activities are accurately classified as business/non-business as appropriate.
  • Prepare year end management accounts for all 3 Watershed entities (Watershed Arts Trust and Watershed Trading and the currently dormant Watershed Ventures CIC), including the preparation of year end files in preparation of the annual external audit.
  • Prepare and input into the draft annual budget and financial plan in close co-ordination with the Finance Director, including modelling all planned annual income across the Watershed entities, planned department and project expenditure, annual staff and employment costs. Support the Finance Director with review meetings with each department head in planning the annual budget and in review meetings with the Exec, SMT and Finance Sub Committee and or Board.
  • Prepare and input into the 6 and 9-month Forecast for the year end out-turn in close co-ordination with the Finance Director, as above, including accurate records of all amendments or changes to planned or deferred income and expenditure so there is a clear agreed record for monthly variance reporting.
  • Assistance in process improvements and the development of month end close and external reporting timetables.
  • Ongoing development of a monthly reporting pack to include variance reporting against budget and KPIs as appropriate.
  • Maintain fixed asset registers for Watershed; to include the calculation of annual depreciation charges and the annual transfer of unrestricted funds to match the corresponding expenditure.
  • Provide assistance to the Finance Director in consolidated cashflow reporting, annual budget setting and reforecasting, and other ad hoc project support as required.
  • Prepare and record grant and freelancer contracts as required.
  • Support the Finance Director to fulfil the requirements of the external audit fieldwork and supplementary information.
  • Line management of the Assistant Management Accountant and Finance Assistants with support from the Finance Director, supporting the day-to-day function of the Finance department (including payroll, supplier payment processing, sales invoicing). Line management responsibilities include recruitment, reviews, training, and development.
  • Deputise for the Finance Director as required.
  • Any other duties as reasonably required.
Key performance indicators
  • Monthly reports are accurate, clear and produced within the required timescale as set out in the Finance annual timetable and planner.
  • Project activity is effectively monitored and reported and supporting fund claims or invoices are submitted on time and payments tracked and received in a timely manner.
  • All rental income and head-lease budgets are professionally managed, and payments of rent and service charges are received in a timely manner.
  • Monitoring of monthly cash-flow, creditor and debtor control and working capital needs.
  • Relationships with budget holders and external stakeholders are proactively built and managed.
  • Department is well supported, and staff are engaged, motivated, well trained on correct accounting procedures and policies and meet their potential for development.
  • Department runs effectively when the Finance Director is absent.
  • Either fully or post exam qualified accountant from a recognised accounting qualification (ACA, ACCA, CIMA or CIPFA).
  • Proficiency in UK charity regulations and reporting, encompassing group consolidation, and the ability to assist in the creation of Financial Statements following UK SORP and FRS 102 guidelines, along with a track record in preparing and analysing management accounts, including the reconciliation of balance sheets.
  • Knowledge of UK tax, including preparation and submitting quarterly VAT returns (through MTD) with HMRC, familiarity with VAT apportionment for business/non-business and compliance.
  • Proven familiarity with MS Office, including competence with Sage and other similar accountingsoftware, complemented by intermediate or advanced Excel skills.
  • Experience of line management or team leadership in previous roles, with demonstrable experience in motivating staff.
