The post holder will be responsible for the provision of an effective administrative and secretarial service to Consultants' and their teams within the Dental Hospital.

They will liaise with the multi-disciplinary team, internal departments and external agencies to ensure continuity in achieving excellence in patient care.


Responsible for the day to day management of the dental specialty workload, ensuring that an efficient service is provided to the Consultants and their teams; to exercise initiative and carry out his / her duties in such a way as to make a direct and positive contribution to the organisation.

Cross-cover for other secretaries within the Dental clinical specialties will be required.


This job description is generic and posts will differ in emphasis depending upon the size of the Consultants' clinical practice and administrative team; therefore this post may develop over time to meet the specific needs of various Dental specialties.

  • Secretarial
1.1.

To provide a full secretarial service to the dental clinical teams including audio typing / transcription or processing of clinical letters (some of a distressing nature), reports and inpatient summaries using the EPR system, ensuring that quality standards are met.

1.2.

To ensure all patient demographic details (address, postcode, GP, GDP & Ethnic Group) are checked and any amendments / corrections are carried out in an accurate and timely fashion.

1.3.

To ensure that all clinic letters and comprehensive discharge summaries are typed and sent to the GP / GDP within 5 days.

1.4.

To act as the first point of contact for users of the Trust, dealing with telephone calls and enquiries promptly and efficiently, providing immediate response and referring / escalating as necessary.

These will include personal enquiries from patients and their relatives, as well as calls from GPs, GDPs, clinicians, students, nursing and administrative staff, at all times understanding the sensitive nature of calls and ensuring patient confidentiality at all times.

There is a need to demonstrate an understanding and reassuring manner when dealing with patients and their relatives.

1.5.

To organise the daily office routines, such as opening and sorting post, preparing replies to routine correspondence, ordering stationery, equipment and photocopying for the team as necessary.

1.6.

To initiate, where appropriate, finding and retrieving the dental / medical health records in order for the clinicians to prepare a reply to correspondence/enquiries.

1.7.

To organise and maintain diaries for the Consultants and clinical teams as required and maintain an effective filing system for all correspondence.

1.8. To keep a record of all movement of dental / medical health records within the PIMS system.


1.9 To ensure that results of tests, investigations and any correspondence received are recorded, reviewed and filed in the appropriate patients dental / medical health records.

1.10 Occasional ad hoc non-clinical typing e.g. agendas and minutes for meetings, legal statements, administrative reports, strategic documents etc.

1.11 To train and support new members of staff in the department including Bank / Agency staff and volunteers.
